Abstract:
Institutional Repositories, Digital libraries and Open journal publishing are probable for Open access
Initiative. Electronic information gathering, preserving and sharing is possible through institutional
repository system only. This article converses about publishing models, about the knowledge and
serves as the indicator of an institutional excellence. It helps in escalating the status and character of
an organization. This paper also presents us information about the institutional repository, its
definition, objectives, qualities, necessity requirements and functions etc.
Keyword: Knowledge Management, Institutional Repositories, Digital Documents, Open Access.
Introduction:
Transform in the act of natural world. The
whole thing on the earth is being restructured
and are leaving changed radically. Several
modifications are also experiencing in
academic publishing. Past the printed material
was used but with the advancement in the
modern technology the digital documents have
occupied and dominated on printed material.
Through the varying circumstances, open
access initiative has replaced the closed access
initiative. With this growing exercise of

and its following advances the institutional
repositories are being opened which present us
electronic documents of research output
produced by research staff, faculty and
students for the assist to end patrons. On this
a researcher can deposit and also access others
research staff and students for the help of end
users. On this an investigator be capable of
deposit and also access others published
research documents. It’s immense help to the
probable research workers and academicians.

There is a number of open source software’s
like greenstone, D-space, and E-print etc.,
which build it to access any text of
institutional repositories. The institutional
repositories grasp different kinds of
publication such as theses, dissertations,
research reports, journal articles etc. The main
perception of knowledge management is of
huge help in the advancement of Institutional
Repository because knowledge management is
a set of procedure aimed at generating,
gathering, preserving, applying and reclaiming
the knowledge. Therefore, Institutional
Repositories also the knowledge is handled by
generating, gathering, preserving, applying
and reclaiming the knowledge and accessible
to the patrons of information. Advanced
educational institutions expend plenty of
money on the maintenance of the library stock
but next also for a while it not have in
providing suitable services to its patrons. But
Institutional Repository is reasonably cheaper
and offers the improved services to library
user.

Definition
Several professionals in the discipline have
defined Information Repository.
According to Crow (2002) “an
institutional repository is an electronic
documentation of the scholar product made by
the research staff, faculty and students of an
organization and available to end patrons both
inside and outside of the organization with few
obstructions if any to access”.
Walker and Barton (2003) state that
“An electronic repository is considered to
preserve, host manage and facilitate sharing of
the intellectual productivity of institutional
faculty”.
The Institutional Repository requires the
following features
 The IR should have OAI facilities so
that the user can get required
information as and when required.
 IR should have easy submission and
registration of document by researcher
and faculty members.
 It should provide easy browsing,
searching facility, import&export and
it should be accessibility on internet.
 It should be sustainable and
trustworthy and should preserve the
data for long range service.
 IR facilities should be started by the
library but the basic motivate of it to
grow in content through the self
archiving by the creator of article.
 IR should provide worldwide facilities
to the users.

 The collection and preservation
document should be OAI for the
researcher, faculty and staff.
 To facilitate improved access of all
the literate research publication.
 It helps the teachers and learners to
use the digital content and also applies
the 4th law of the library science given
by S.R Ranganathan.
 It provides interface between user and
digital content.
 It cross-repository service is also
being used for OAI services.
 To help in storing, archiving and
sharing resources.
Crow Identifies the following elements has
been for the Institutional Repositories
 Institutionally: It refers to the
intellectual assets of the institution.
The institution means an organization
or place where intellectual assets are
generated. These intellectual assets are
generated by its staff, faculty
members and students.
 Scholarly: It refers to the content of
the repository such as reprint, pear
reviewed
articles,
monograph,
enduring
teaching
material,
conference papers, electronic thesis
and dissertation and gray literature
etc.
 Cumulative and Perpetual: It refers to
the collection of the contents and long
time preservation for the perpetual
access scholarly contents.
 Open and Interoperability: It refers to
the open access of the contents and
cross searching facility of the
repository
which
provides
interoperability of the content.

Software: the process of testing
before implementing new system
into operation a test run of the
system is done for removing the
bugs if any.
Content Management: in the
content management, we have to
see that the content of the system
should be user friendly, search
information easily attractive and
should be simple and accurate.
Creation of Digital collection:
the collection should be such to
employ on their problem
solution. It should be helpful for
faculty member, research scholar
experts, share views etc.
Archiving and Preservation:
this process includes some
important
task related to
archiving of the documents.
After approval this process
comes, here date of submission
of document is provided and
unique identity to the document
is provided.
Dissemination: it consists of
various things like searching,
browsing, OAI registration and
right management. OAI is
involved tracking users and
collection
customization
registration etc.

At present Institutional Repository is
modernize in the field of education and
development but with the changing
environment it is helping the community. It
offers appropriate and quick service with the
assist of Open Access Initiative. Institutional
Repository stores the online information for
distribution and it is available for online users.
Institutional Repository enhances the library
status, by captivating libraries towards
electronic publication and raises its status
among patron and builds it stronger and more
usable than ever.
