Job purpose
To assist the finance function for The Factory Youth Zone, maintaining the financial systems, assisting as and
when required with the preparation of budgets, monthly management accounts and monthly payroll.
The Casual Finance Assistant will ensure all functions are maintained to a high standard while covering for
colleagues on leave and provide extra support for the team during busy periods.
Context of the post
The Factory Youth Zone is an iconic state-of-art Youth Zone, in the heart of North Manchester, attracting
young people from across the city with our fantastic facilities. The Factory provides a timetable of positive
activities, practical support and personal development opportunities, especially for those who are
disadvantaged. The aim is to enable children and young people to make constructive use of their leisure
time, raise their aspirations and encouraging them to live a positive independent lifestyle.
The Casual Finance Assistant supports the vital finance functions of the charity, ensuring the smooth
running of this department throughout the year.
Duties and responsibilities
Take responsibility for the finance function while on duty
Maintain a cash management system for in-house generated income, banking procedures
Maintain cash records, reconciling receipts to Salesforce database on a monthly basis
Issue petty cash when requested, ensure receipts/vouchers reconcile to cash balances
Input purchase invoices onto Purchase ledger
Reconcile supplier statements to ledgers
Produce detailed creditor report and highlight payments due
Report on any discrepancies in purchase invoices and authorised expenditure
Ensure records are maintained for all bank payments (debit card purchases, BACS payments)
Initiate improvements to cash and record keeping systems if required
Work with the Catering Manager to ensure accurate timely stock records are maintained, assist in the cash
and stock systems operating in the canteen
Ensure all income and expenditure is accounted for within the accounts software and accurate data
available for the production of management accounts
Process monthly payroll system, produce reports and ensure RTI is sent to HMRC in a timely manner
Work with the Finance Manager to ensure all due payments are made to supplier and staff
Receive incoming calls, responding or redirecting as appropriate
Report any issues of concern directly to the Finance Manager or CEO, ensuring confidentiality is observed.

Ensure that all volunteers and trainee staff are made to feel an integral and valued part of The Factory
Youth Zone family
Understand and use procedures for reporting any comments, behaviour or incidents inappropriate to a
setting with children and young people
Understand the importance of data protection and maintain standards of best practice in this area
Person Specification
Good candidates for this role will have experience of working in a financial environment. They will be
numerate, IT literate and demonstrate excellent attention to detail.
Qualifications
Level 3 AAT or equivalent
Level 2 finance qualification
Experience
A minimum of 1 year’s experience working in a financial environment
Administering finance for a registered charity or not for profit organisation
Operating accounting software
Operating Sage Accounts and/or Sage Payroll
Dealing with suppliers
Knowledge and skills
Numerate with experience of cash handling
IT literate with experience of using MS Office programmes
Experience of using databases and spreadsheets to store and retrieve information
Excellent time management skills
Good verbal and written communication skills.
Ability to work independently on own initiative and within a team
Ability to understand, follow and implement strategy, policy and procedure
