Job purpose
1) This role operates with significant autonomy, acting as the main point of
contact between ICIA, the Student Union and the Student Population, developing
and maintaining relationships. It advises student artistic groups, societies and
individuals, motivates participation, raises the overall profile of arts on campus
and improves the extra-curricular offer for students in this way.
2) Advising the ICIA Director and Arts Officers on students’ and young peoples
arts needs and interests and recommending performances, projects and
initiatives that are relevant and engaging for the student population and a
developing young peoples audience.
3) Working with students’ societies and individual students to find ways of
increasing student involvement in the ICIA programme and advising them on
ways in which they can improve their programmes and productions and develop
their artistic production skills. To devise and initiate schemes that improve the
quantity and quality of student arts activity.
4) Ensure students are aware of ICIA activities, events and opportunities open to
them, encouraging attendance of ICIA events.

Main duties and responsibilities
Students
Act as the central point of liaison for student societies, groups and
individuals regarding their work with ICIA. This will include working
closely with members of the ICIA and BOU (Buildings Operations Unit)
team and the students concerned regarding events, exhibitions, regular
rehearsals and performances in ICIA spaces.
2 Work closely with students’ societies and individual students to find ways
of increasing student involvement in the ICIA programme. To advise
these societies and individuals on ways in which they can improve their
programmes and productions and develop their artistic production skills.
In turn advising ICIA on the demand for subject specific one off
workshops/masterclasses tailored to students needs.
3 Manage the ICIA Student Arts & Media Development Budget. Agreeing
and publicising the criteria for the scheme, assessing applications and
evaluating the results.
4 Co-ordinate ICIA involvement in University open days, Society and
Fresher’s Fairs, the Freshers’ Week programme, University Induction
talks, student memberships and work in conjunction with ICIA Marketing
and SU to organise and influence arts involvement with themes, issues
and projects that are relevant.
5 Work closely with full-time members of staff within the Students’ Union,
the Sabbatical Office for Activities & Development and the Arts Executive
to maintain open lines of communication, including setting up and
attending regular meetings as appropriate. To report regularly on student
needs to the Director of ICIA, BOU space bookings team and other
members of the ICIA Team.
6 Work closely with members of the ICIA, SU teams and the Building
Operations Unit and with relevant society committee members to
maintain the service level agreement that ICIA has with the Students’
Union, monitoring and developing collaboration between ICIA, societies
and the wider Students’ Union. Through this work to develop the range,
quality, practice and fit of arts provided by and for students.
7 Represent ICIA on student orientated University committees and at
meetings and conferences that could add value to the arts experiences of
our student population. Represent the ICIA at student performances.
8 In conjunction with the SU and BOU co-ordinate the induction process for
new arts society committee members into the work of ICIA. This will
involve the creation of an online induction pack and streamlining of
existing booking procedures. And may involve delivering or arranging for
training sessions in areas such as Marketing, Event Management, Front
of House and Health and Safety, as well as outlining ICIA’s services,
facilities/expectations to new society committees and arranging induction
meetings for new society chairs to effectively communicate, collaborate
and avoid event clashes across art forms.
9 Research, develop and initiate examples of best practice to ensure that
the student arts experience is of the highest quality. This could be the
provision of professional support, master classes, resident artists, visits
too and involvement in festivals and exhibitions, working closely with the
ICIA Director and Arts Officers.
10 Undertake particular areas of research as required and take responsibility
for projects and initiatives when appropriate, working closely with the ICIA
Director and Arts Officers.
11 Advise Marketing and Communications (Business Operations Unit) on
the marketing of ICIA’s performances, exhibitions and classes to the
student population. Facilitate and support ICIA Marketing and
Communications on the most effective ways of promoting student arts
product and initiatives. Take responsibility for collating and uploading
marketing material from societies for student events on to the ICIA
website and ensure students are clear of ICIA marketing support
guidelines.

General
Work with the Business Operation Unit to deal with arts enquiries from
students and the general public both in person and by telephone. Acting
as the main point of contact for all student societies.
Maintain up-to-date records to allow for the accurate recording of
information to be used for financial reporting, statistical monitoring,
marketing and promotion.
Oversee the income and expenditure for the student arts development
budget and for related one off projects and initiatives ensuring budgets
and targets are met. Report results regularly to the ICIA Director,
highlighting issues and working to resolve them in line with University
policies and procedures.
Support and add to the work of ICIA colleagues to share skills that
contribute to successfully achieving targets. Liaise effectively with other
University departments to ensure best use of resources. Maintain good
practice in line with University policies and procedures, particularly
relating to Equality & Diversity, Health & Safety and environmental
issues.
To ensure that good practice is followed in line with the University’s
policies e.g. on Data Protection, Equal Opportunities, Health and Safety,
HR / Employment Practice, etc.
