Theatre Booster Meeting
1-4-11
Present: Kim Mollohan, Sally Sommers, Lynne Lascheid, Jeff Barstow, Cathy Perkins, Sally Payne, Gayle
Henderson, Cass Trujillo, Sue Meek, Mark Collins
1. Hairspray – The cast has learned the most difficult dance and they are doing well.
Wednesdays will be LONG. Do have a dinner break 6:30-7pm. Parent forms are coming in.
Rehearsals - Next week will check on times d/t finals. Rehearsal this Sat from 9-12. The stage floor
has been replaced! Feb rehearsals – those that are here will have a rehearsal, costuming, etc. Those
that are not available will be behind a day.
Booster needs – Prop list as previously posted and folks can start bringing in items and then they
will make an updated list.
Cast party will be on Sat nite. (Jen Pearce will coordinate but she will need help, etc.). The Sunday
party would be more $ d/t custodians. The party will be done at midnight.
Tickets - Kim has had calls about tickets already!!! Making a seating chart (large) and mark off when
seats are taken. Pre-sale to cast and credit cards – possibly the beginning of Feb. Student discount, use
the ID’s. Also increase the price for at the door for adults was mentioned and discussed. There would
need to be info on posters and with publicity. The concern would be about the agreement with the
other Westerville schools and the cap for ticket prices that was previously agreed upon.
Concessions – Sue Meek has a list of 60’s candy that will be sold. Possibly drinks as well. Fresh
popcorn, water only is also a possibility. Cass would like no food or drinks in the auditorium. There is a
request for a slightly longer intermission due to the potential size of the audience. Suggestion to put a
trash can at the door and make sure there is a sign near the concessions about the fact that there is
nothing in the auditorium.
Costumes – hope to have some consistency with colors, etc. Jude Berger has allowed us to borrow
and alter as needed. There are two to three outfits per person. Marci Hain has some extra costumes at
Otterbein, they might check with them. If you find something while shopping or thrifting, take a photo
and send to Cass. Need some colorful shirts like 70’s for the Black teens. Shelley has a chrome table,
etc. A friend of Kim’s is doing the wigs – Brenda’s Hair to Wear will be using her wigs from the demo
floor samples. May have to buy a few – would provide publicity for her. Dynamites will be in gold. –
There is a new dynamite as well.
Cast changes - Several cast members have had to drop, there will be no more student directors only,
they are now in the show.
Programs – Mrs. Blaine will help with this – need to be 81/2 x 11. It was suggested that there
should be advertising sold for the program. Would like one section devoted to hair salons. We will make
the form to hand to kids – Kim will do the form for the beauty salons. We would need to pay for the
program - $500 will go toward scholarship and then anything over will go to Department? Publicity,
contact Brett Knuckle. Bois for the program and outside the auditorium – Shelley will take pictures.
After Show –Possibly have the cast available for after the show – only 6 leads for autographs. Keep
it to a minimum in terms of time. Possibly use the back inside page of the programfor autographs.
2. Treasurer Report – Mark Collins reported - Look at the report hyperlink or the website –
Some memberships came in today as well as the money for the Hairspray food.
Fundraiser ideas – Sue had an idea for hot air balloon rides – donate the ride? 50-50. Need to check
with Stephanie about any liability. South was pre-selling the musical programs like a souvenir program
or a poster and buy the autograph on the posters.
3. Director Report - Cass –
Stage floor – When the workers were sanding the original floor and chunks of wood would come up
a hit them. They were going to cut out the old and replace those pieces. It was too brittle to do that so
it was replaced. The apron will be walnut stained and the floor will be flat black – painted. Shelley will
send a thank you.
Needs – one to two more carpentry parents. Will send Gayle a schedule. Would like to have a parent
on both sides (who knows what to do). Cass has two student captains as well that are knowledgeable.
Meeting on Thursday for costuming and paralleling the cast rehearsals. Will not work past 6:30pm.
January working Tues/Wed and Thurs only. Did a lot of work in December.
Tech – do not want to leave the sound equipment out anymore. Kids do not really know how to use
the stuff. Possibly check with some of the universities nearby to see if they have someone to help. Tech
safety workshop went well >50 students! Averaging about 28/night. Costumers are great – they will get
actors to hair and make-up and costume changes. Make-up forms going out. They will need to have the
faces washed and Cass will have them bring in their own remover and astringent and lotion, the student
will bring cosmetic pads to use/share and a form with the info. Possibly do a “pre-order” thing and ask
the make-up people if they can get any of the extras at a discount.
Drama Club – do not happen but would have been the same as in December. Need info re States
would be about $60. Want to take a lot of kids. Date is last weekend in March 25-27th. Sign-up due Feb
19th.
Another Project – The sound has been worked on and they will need to fix what was broken and
tweak the floor mikes. One of the three sky mikes had a faulty head and has been replaced. Face mikes
are ok. Sound guy did show Cheyenne a few things that need to be fixed to make the speakers and mike
work. The board should be back in the back so no one can fiddle with it. Cass would like to request a
new project. She would like to have all the costumes labeled with North label and catalogued. Costume
closet has been fixed up and separated by gender and color.
Set – making two large floats 10ft x 6 ft with four scenes on each one.
4. Old Business Alice – look at the hyperlinked report. The girls did not get the Cols. Foundation Grant. The Rotary
grant covers ½ of expenses. Kate and Leah sent in their project for the Gold Award.
Flowers – We can no longer get the flowers at the flowers/plant place. Will contact Flowerama –
they set-up and take those not sold. Could also pre-order flowers for the students on-line don’t know
about the profit. Roses would be nice. Also, Suzanne Acre had a contact with them, Suzanne’s mom and
Emily’s dad would like to be involved for Emily.
