Position Description: Marketing and Event Assistant
The marketing and event assistant will support and execute marketing and event plans. He/she
will aid in multiple duties related to event marketing/project planning projects, including but not
limited to, executing sales/marketing campaigns and logging the activity in Salesforce, preparing
electronic and print marketing material for various Chartwell events, acting as the main
sponsor/exhibitor liaison once the sale is made and providing other event support as needed.
Key Responsibilities:



















Update and maintain CRM database (Salesforce.com) with accurate contact, activity,
and campaign information
Support sales through lead generation, including prospecting via web searches, mining
conference lists, surveys, etc. and account analyses
Gather competitive intelligence by researching other industry events, schedules, pricing,
advertising, etc.
Liaise with sponsors and exhibitors for all Chartwell events, including communicating
event information pre- and post-conference
Coordinate sponsor/exhibitor logistics pre- and post-conference, including collecting
logos, descriptions, registrants and other needed items
Maintain sponsor/exhibitor benefit matrix and ensure all obligations are fulfilled
Update websites via content management systems
Maintain promotional materials including researching vendors, coordinating
requirements with different departments, inventorying stock, placing orders and
verifying receipt
Research competitive events by tracking schedules, pricing, advertising, etc.
Assist with creating and editing marketing material for pre-, post- and onsite event
promotion, including slides, sponsor/exhibit forms, etc.
Assist with planning Chartwell marketing presence at events and tradeshows, including
researching vendors; coordinating sales/marketing lists; securing sponsorships, exhibits
and registration at outside events; preparing collateral; shipping/receiving tradeshow
items
Assist with compiling marketing and event binders
Track marketing efforts
Monitor events mailbox, respond as needed
Research vendors and work directly with them to fulfill sponsor and exhibitor needs (i.e.
charging stations, masseuses, show decorator, etc.)
Follow event planning and communication timelines
Assist with logistics for multiple conferences and meetings, including
organizing/preparing programs, sales collateral and general information
Assist with webinar production, logistics and run the board for live events as needed
(~50 per year).
Other duties as needed.
Travel
Some travel is required to support events (estimated 5-8 events per year).







Extremely detail oriented coupled with ability to create and maintain
accurate/accessible and organized documentation.
Works well under pressure, results-oriented, and has a proven ability to meet deadlines
High level of initiative and works well in a team environment
Positive and professional attitude
Excellent written and oral communication skills
Proficient in Microsoft Office Suite
Preferred Skills and Experience
 1-2 years of experience or Bachelor’s degree
