Board Meeting Minutes
May 21, 2015

Call to Order at 7:03pm
President (Trecia Ahlgren) – Absent – in London on business

Vice President ( Nina Stymacks)-Feed my starving children – Libertyville IL
 Discussed volunteer program for entire organization; need to look at a few dates and confirm
capacity for volunteers as well as the required adult to child ratio.

Treasurer (Kim Routledge)
 Treasurer update – we currently have $45,000.00 in bank account , however, nothing has been paid for
season; i.e. uniforms, competitions, choreography
 Sponsorship Update – Currently have $2,775 for 2015 season – ½ goes to athlete account who obtained
sponsor, ½ to the organization.
 Fundraiser Update
 Still have 36 boxes of chocolate left
 Two site sales scheduled
1. Saturday 5/23 @ Walgreens in Fox Lake
2. Saturday 6/06 & Sunday 6/07 @Jewel in Fox Lake
Total sales for each day will be divided by the number of athletes that volunteer and applied to their mandatory
fundraising

Cheer Director (Angelique Elfering)
 Competitions – Discussed the available competition dates and locations; voted as a group on preferred
locations and Saturday vs. Sunday if we can choose.
 Competition #1
1. 1st Choice – Opening Day Sunday 9/27 – unlikely we will be able to attend due to lottery.
2. 2nd Choice – Unannounced competition at Jacobs HS – this competition will be similar to
Spring competition format.







 Competition #2
1. Cheer Revolution – Hampshire?? Prefer Saturday 10/17 over Sunday 10/18
 Competition #3 Tumbleweed – Sears Centre Saturday 11/7
 Competition #4 Jacobs HS - Prefer Saturday 11/14 over Sunday 11/15
Spring Season – Last year the IRCA lost money, therefore this year meeting in August we will have to vote
whether or not we are interested and commit to season.
 Discussed option between Dance, Rec, Super Rec ( All-Star)
Mandatory Sideline Practices -2 Fridays
 20-25 sideline cheers
 5 cheers from Grant HS
 Amy suggested video recording sideline cheers & burning to disc for girls to practice – up to
individual squads.
Rosters – Finalized
 Varsity – 29 athletes (includes 2 boys)
 Jr. Varsity – 29 athletes
 3-4 – 32 athletes
 K-2 – 24 athletes (includes 1 boy)
Coaches email/Practice Structure
 Discussed the content; a lot of information, although valuable; please follow to ensure
consistency between squads.
 Keep a copy in the binder – good point of reference for newer coaches
 Discussed reward system – individual vs. team recognition
 Questions regarding attendance policy – Reviewed the commitment and the balance between
activities; generally speaking must be deferred to Head Coach.
Cheerleading University – 5/30 & 5/31 Harper College in Palatine
 Good Classes – can take pick and choose which classes you want to take, do not have to commit
to both days
 Opportunity for further education through Cheer University

Secretary (Jorie DallaValle) – Nothing to report

 Discussed sending emails to parents regarding missing Birth Certificates.
 Will append athletes t-shirt size to final roster and provide to Nina Bye to order spirit shirts


Marketing Coordinator (Jill Potter) – Nothing to report


Coaches Shirts (Fancy)
 This shirt is available for coaches & board members; shirt is “out of pocket” and completely
optional.

Spirit Shirt (Sparkly)
 Provided a sample of the Spirit Shirt and request for sizes a.s.a.p. so they may be ordered in time
for orientation
 T-Shirt is paid by the Organization
Reviewed items available for sale at Football games, pep rally, etc.
 Headband – covers ears
 Umbrellas – golf size
 Mist bottles
 Conductor Hat or Gloves –Nina Bye to choose best option


Special Events Coordinator (Brandi McMullan)

 Eat wings raise $
 Bowling – reviewed a few options for fundraiser at Kristoffs

 Tumble Night – Look to schedule for a Saturday evening at Layton
 Open Skate – Skate on Grand – decided against

