GENERAL CONDITIONS
1. Regional Individual Swimming Championships shall be competed for annually and subject to any standard
the Technical Swimming Committee (TSC) may impose. The Championships shall be open to any
member of a club affiliated to the ASA East Region who is eligible within the meaning of ASA Law
2. All events shall have finals except the 400m, 800m and 1500m Freestyle and the 400m I.M. which shall be
timed finals. Each Final shall have a maximum of two reserves declared
3. A swimmer entered in the name of one club in the individual events may not compete in the name of
another club in the team events. A swimmer must be a member of the club in whose name he/she is
entered and must have been registered as such with the ASA prior to the entry closing date of the
competition
4. Entry times for all individual events shall have been achieved in meets Licensed by the ASA within the
qualifying dates indicated in the minimum qualification standards. Subsequent improved times will not be
accepted
5. Only entries made electronically will be considered. All entries from a club shall be consolidated by a club
official and made using the SPORTSYSTEMS Entry Manager Rev 2.0 software which may be freely
downloaded at www.sportsys.co.uk
6. All entrants are still bound by these conditions of entry even though a form is not signed
7. Entry fees are £7.00 per event and £10.00 per event for Team races
8. The SPORTSYSTEMS Entry Manager Rev 2.0 export file containing submitted entries and full payment
shall reach the Entry Administrator not later than the advertised closing date. Acknowledgement and
acceptance of a correctly submitted entry shall be by publishing an accepted entry listing and draft event
listing on the Championship page at www.eastswimming.org
9. Once an entry is accepted a competitor shall swim or give notice of withdrawal. Notice of any withdrawals
from a Club shall be reported by Clubs to the Recorders at least 45 minutes before the start of the Session.
10. All finalists AND reserves shall report to the Clerk of the Course for the final or give notice of
withdrawal to the Recorders within 15 minutes of the publication of the heat results. Withdrawals
after the 15 minute deadline may only be made on medical grounds.
11. Any swimmer not present when required to swim shall incur a £10 penalty which must be paid before the
competitor competes again in the Championships. In the event of a competitor not paying the penalty, the
Club in whose name the competitor has entered the competition shall be responsible for payment
12. Dependent on the number of entries, the promoter reserves the right to reject the slowest competitors. For
the Friday evening session a maximum of two hours of swimming time will be scheduled. The promoter will
allocate this time to the received entries to achieve what is believed to be the best compromise between
the two events.
13. Any swimmer failing to comply with any of the foregoing conditions shall not be allowed to compete in the
championship
14. Warm Up will commence thirty minutes before the start time. Team declaration forms must be submitted
before the start of Warm Up.
15. The first three swimmers in each Championship event shall each receive a suitable award. There are no
separate Junior events, however, Junior medals shall be awarded for each individual event. The Junior
Champion shall be the best placed junior in the final. Should there be no Juniors in the final(s), the Junior
returning the fastest time in the heats shall be declared the Junior Champion. Runner up and third placed
Juniors shall be judged on the same principal. A Junior shall not have reached his/her sixteenth birthday
by the last day of the Championship
16. The winner of each Championship shall be entitled to hold the trophy where provided. He/she shall give a
receipt for it and an undertaking that reasonable care will be taken of it and that it will be returned when
and as required
17. Protests shall be made and dealt with as detailed in ASA Law. The promoter is the ASA East Region
18. Any question arising, for which these conditions do not provide, shall be determined by the TSC.
19. Submission of an electronic entry file will be regarded as full acceptance & agreement to all conditions
within this entry pack.

DISABILITY SWIMMING CHAMPIONSHIPS CONDITIONS
These supplementary conditions are to be adhered to together with the general conditions for the Regional Winter
Championships.

Where no Qualification Time is shown, the swimmer must have achieved the qualification standard for the 200m
Individual Medley
2. Eligibility
Competitors must be in possession of a Functional Ability Card (FAC) at the time of entry or their online ASA
Membership details shall record a disability sports class.
3. Accreditation
Coaches and support staff must have an accreditation. Support staff shall only be permitted in accordance with
IPC Swimming regulations. A competitor may have both a coach and support staff in attendance. All coaches will
be required to purchase a coach pass. NO PASS, NO ACCESS TO THE POOL DECK.
4. Medals
Medals shall be awarded on a multi-class timed final basis to 1st, 2nd and 3rd placed competitors based on British
Disability Points reguardless of age.

Entry Procedure
This procedure is for entries only.
Do not send any coach pass applications to the entry adminstrator
All entries from a club shall be consolidated and submitted electronically to the Entry Manager. ONE payment
cheque shall be made as a consolidated payment of all the entries.
Download and install the SPORTSYSTEMS Entry Manager V2.0 from www.sportsys.co.uk. If you have previously
installed this program ensure you check and download the latest version by using the ‘Check for Updates’ option.
Download and save the Entry File Set (zz_EntryData.sef) from the Championships Entry page at
www.eastswimming.org.uk
Full instructions can be found within the program under Help and a quick start video is also available on the
SPORTSYSTEM website.
The only way to enter individual times is by using the ‘Get Times’ button ensuring the entered time satisfies the
entry conditions. It is not possible to manually enter individual times. Times retrieved from GB rankings that do not
satisfy the qualification time will be flagged with a yellow ‘N’ swim button. Times which satisy the qualification time
are shown with a green ‘Y’ swim button. Click any unrequired green ‘Y’ swim buttons.
Clubs entering para swimmers should identify the correct S, SB & SM sport class in the drop-down boxes and
leave the Disability Exception Code box blank. For an event to be entered, the swim button must be green ‘Y’. Any
events flagged yellow ‘N’ from times retrieved from GB rankings will require the swim button clicked until it
changes to green ’Y’ and the entry time shows ‘YES’ The Entry Adminstrator will convert these ‘YES’ entry times
to the times in GB Rankings, detail the times you believe meet the requirements in the e mail submitting the entry.
Note: if, after saving a swimmers entry, the entry is reopened for editing, you must ensure any events entered have
the swim button set to ‘Y’ again before saving.
Times retrieved from GB rankings will be from 2 December 2013 and the best short course time will be populated.
This includes conversion of long course times to short course.
Use the report feature to calculate the total cost of your entries. Your payment should NOT be different than this
calculated amount.
After completing your entries, generate the export file as described in the help section and attach to an e-mail to
the Entry Adminstrator (entriesmanager@eastswimming.org) Your e-mail will be acknowledged.
Closing date for entries is midnight FRIDAY 7th November 2014.

All Warm-Ups start 30 minutes before the Session start time. There will be an hours break between the end of a
Session and the warm up for the next Session.
An updated schedule will be published on the East Region website once the accepted entries are known.
The presentation for events 308 & 608 will be made at the start of the following session. In the evening Sessions
presentations for the first two events will be made after the third event. Thereafter presentations will be made after
every two events with the presentation for the last last three events being at the end.
800m & 1500m will be swum LONG COURSE – all other events will be SHORT COURSE

WITHDRAWALS PROCEDURES
As there will be a dedicated warm up pool and the start of competition will be 30 minutes after
the start of Warm Up the withdrawal procedures for this Championship will be different from
previous years. This is being done to maximise the use of the facilities and allow everybody to
depart earlier.
For the 800m and 1500m events competitors will need to sign in. For the 800m event the sign-in
time is the start of Warm Up. For the 1500m event a time will be published once the accepted
entries are known. Swimmers signing in and then not available to swim when required shall
incur a £10 penalty, which must be paid before the competitor competes again in the
Championships.
For all other sessions except the Finals it will be assumed that all swimmers are present unless
the Recorders have been advised otherwise before the end of swimming the evening before.
Where a swimmer withdraws from all their swims and the Recorders believe it is on medical
grounds a refund will be considered by the Promoter.
For the Finals all finalists and reserves shall report for the final or give notice of
withdrawal to the Recorders within 15 minutes of the publication of the heat results The
Promoter will announce the names of any reserves required to report for a final once the
period for withdrawal has passed. Withdrawals after the 15 minute deadline may only be
made on medical grounds. Any swimmer not available to swim when required shall incur
a £10 penalty, which must be paid before the competitor competes again in the
Championships. In the event of a competitor not paying the penalty, the Club in whose
name the competitor has entered the competition shall be responsible for payment.

Passes will be issued in the name of your club and shall be collected from the Officials Room on the day
before going poolside. Passes will not be mailed out
Clubs with twenty or less swimmers may apply for a maximum of two passes. Where there are more than
twenty swimmers, a club may apply for additional passes to maintain a 1:10 ratio
Passes are £10 each for a whole weekend or part thereof
Passes may only be used by the coaches/helpers named on this form; all named persons must be registered
on the ASA Coaches & Helpers Database (Child Protection)
All swimmers aged 16 years and under must be under the supervision of a pass holder during the warm up,
competition and in the vicinity of the pool
Passes may only be used when there are swimmers from your club on the deck
Passes must be worn in a prominent place whilst on the pool deck. Coaches without passes on display will be
asked to leave and may be refused readmission.
Coach passes will entitle the holder to tea and coffee provided in the Officials Room.
Food between Sessions can be provided at a cost of £20 per day only if booked in advance on this form
