Guidelines and Procedures
The safety and well-being of every member of the Vikings Women’s Softball Club is integral to the future of
our club. These guidelines and procedures (from here on in known as “Guidelines”) have been developed
to protect our members and make a safe, welcoming and enjoyable place to learn and play softball.
These guidelines are here to protect our:






Committee
Coaches and all associated staff
Ancillary helpers
Umpires
Parents and supporters, but most importantly, our
Playing members
1. Interpretation
1.1. The Vikings Women’s Softball Club is governed by the Vikings Men’s Softball Club Constitution
1.2. All Softball WA rules shall apply unless otherwise provided for in these Guidelines
1.3. These Guidelines are to be adopted by Vikings Women’s Softball Club, Officials, Team Officials,
Parents, Players and any other body associated by the club
1.4. The Guidelines may be added to at any time after approval by a majority vote at a monthly
meeting or a special meeting of the Club Executive Committee
2. Executive Committee
2.1. Consists of the President, Vice President, Secretary and Treasurer
3. The Complaints/Disputes Committee
3.1. Consists of 3 Committee Members with no less than 2 Executive Committee
3.2. All complaints to be forwarded to the President in writing
3.3. The “Letter of Complaint” will be brought forward for discussion at the next scheduled Committee
meeting
3.4. Action required will be determined on a case by case basis
3.5. If deemed necessary, mediation or legal services may be called upon
3.5.1. Any person/s found to be in breach of these Guidelines may be called in front of the Disputes
Committee at a special meeting to be held answerable for their actions
4. Team Responsibilities
4.1. To model appropriate standards of behaviour at all times
4.2. To provide a manager to assist the coach with team administrative duties
4.3. To source plate umpires required for each home game
4.4. Each team player is to make themselves available to base umpire at required games on a rotational
basis
4.4.1. If a team member is unable to fulfil their duty, they are responsible to find a replacement
4.4.2. If they cannot swap with a team member, they are able to find a “fill-in” umpire from outside
of the core team
4.4.3. These fill-in umpires should be paid a fee for service
4.4.4. Fee for service to be paid by the team member rostered for that umpire duty
5. All Junior Games and Training
5.1. No drinking during Junior games
5.1.1. Exception – Night games when the ground is shared with Senior games at the same time slot
5.2. No drinking during Junior training
5.3. No smoking within 50metres of Junior players during training or games
6. Little League
6.1. Female players aged 9 – 12yrs inclusive as at 31 December
6.1.1. Exception - dispensation approval by Little League WA
6.2. Each team member must play each field position on a rotational basis
6.3. The team Coach or Manager must keep a record of the team rotation
6.4. The record must be presented to the Committee on request
6.4.1. Exception – If team players prefer not to pitch or catch (note – coach may guide team players
but are not to be “overly persuasive”)
7. Junior League
7.1. Under 15’s
7.1.1. Must be 14yrs of age at 31 December
7.2. Under 17’s
7.2.1. Must be 16yrs of age at 31 December
8. Team Uniforms
8.1. Vikings playing top, Vikings hat or visor, grey softball pants, bottle green socks, runners or cleats
8.1.1. Socks to be worn no lower than pant length
8.1.2. Pants to be a minimum of knee length
8.1.3. Optional – White undershirt and belt
8.2. To be worn at each and every scheduled game
9. Registrations
9.1. Will be considered on a first in, first served basis
9.2. Where possible we will try to accommodate requests
9.2.1. This is not guaranteed
10. Team Selection
10.1.Will be determined by a Selection Panel
10.1.1. Selection Panel to be determined by the committee
10.2.Teams will be built around registered Pitchers and Catchers
10.3.Maximum number of players registered in each team will be 12
11. Borrowing Players to fill in
11.1.Junior Players
11.1.1. In every instance, first player request is to be made to the Junior team Coach/s
11.1.1.1. Note - Consecutive player may be requested from senior teams following the rules
below
11.1.2. Only the Junior Coach/s is to approach their team members
11.1.3. The Junior Coach/s may discuss player selection with requesting coach
11.1.4. The Junior Coach/s is to confirm with parents the players availability
11.1.5. A Junior player may only fill-in for 1 game per day
11.2.Double Game Playing Up
11.2.1. There are no restriction on field or batting placement of players playing up
11.2.2. Registered team players are not to sit out of a game “unless injured” in place of a fill in
player
11.3.Double Game Playing Down
11.3.1. Borrowed player must only play outfield position and bat 9

11.3.2. Borrowed player may only come down 1 club grade
11.3.3. No batting or fielding restrictions on regular team grade game
11.3.3.1. Exception - Borrowed player taking infield position is ineligible to play or be on the
bench for their regular team grade game
11.4.Borrowed Player Single Games
11.4.1. No batting or fielding restrictions
11.4.2. Can only play down one club grade
12. Fees
12.1.Fees are to be paid in full by 3rd scheduled playing game
12.1.1. Exception – When repayment plan adopted to be discussed with the Treasurer before the
3rd game
12.2.Un-financial players without payment plan will not take the field on the 3 rd game until financial
status has been resolved
13. Fees Refunds – edits needed
13.1.If a player changes their mind prior to team registration with Softball WA
13.1.1. All fees paid by player above deposit amount will be refunded
13.2.If a player is injured prior to team registration with Softball WA
13.2.1. All fees paid by player above deposit amount will be refunded
13.3.If player changes their mind or is injured after team registration with Softball WA
13.3.1. No fees will be refunded
13.4.If the Club is unable to provide a team for a registered player
13.4.1. Player will be notified by the committee
13.4.2. All fees paid by player will be refunded
14. General
14.1.Coaches may not coach a team they are play in
