General guidelines
PLEASE NOTE: It is the author’s responsibility to obtain permission for any copyrighted
material that s/he wishes to include, including images, tables and figures. This is standard
practice in the publishing industry.
Please be aware that the wide availability of an item on the internet does not imply that it is
not subject to copyright restrictions. Please supply written evidence that the item is legally
available to use. For example, it may be posted online with a “Creative Commons”
attribution. Or it may be taken from one of your earlier works, for which you hold the
copyright.
In most cases, the publisher of a work will hold the copyright, and will need to be
approached for permission. Obtaining permission from the author will not be sufficient if the
publisher is the copyright holder.
Permission must be sought as a matter of priority, as publication cannot go ahead until
permission is given. Please be aware that permissions requests can take several months to
resolve. If required, Greenleaf Publishing will provide guidance on identifying and
approaching the copyright holder. If you are currently seeking permission but are yet to
receive it, please indicate this on the permissions clearance form (Document 3). For full

Please also note that the copyright transfer form (Document 2) will need to be signed by all
contributors to the manuscript.

2. Greenleaf Publishing – transfer of copyright
In order to be able to distribute papers published in Greenleaf journals, we need signed
transfer of copyright from the authors. We are committed to a liberal and fair approach to
copyright and accessibility, and do not restrict authors’ rights to reuse their own work for
personal use or in an institutional repository.
Please read the statement on copyright and permissions below carefully before you agree to
it. Until you have agreed this, we are not able to proceed with publication of your paper.
Where two or more people are the joint authors then they all must agree, but one can
indicate agreement on behalf of the others.

3. Following publication with Greenleaf Publishing, authors are free to use their original
version for their personal use, or to make it available through an institutional
repository, either in the original version or in a revised version. Prior distribution by
Greenleaf Publishing should be acknowledged, giving details of the relevant
publication.

4. Authors confirm that:
a. The paper has not been published/distributed (other than for purely internal use)
elsewhere
b. The paper is not under consideration for publication/distribution by another publisher
c.
The paper does not contain any unlawful material or statements or material that
infringes existing copyright
d. The content of the paper does not breach any confidentiality agreements binding on
the author(s).
e. Where appropriate the necessary permission to publish/distribute has been obtained
from the copyright owner. This includes figures, images and any content which does
not belong to the author(s).

5. Greenleaf Publishing guarantees that they will ensure fair and faithful representation
of the paper and will undertake only minor alterations to ensure accuracy in terms of
content and language. We will also take all necessary steps to protect the work from
unauthorised copying or further distribution.

3. Copyright clearance form
This form is for contributors to journals published by Greenleaf Publishing. Its purpose is to identify
elements of the work that require copyright clearance and to track progress in resolving the issues.
You will receive this form from the publisher in charge of your paper; she or he will be your point of
contact if you have any issues you wish to discuss.
