Purpose This policy contains general policy guidelines for the use of Company issued Credit Cards.
This policy applies to the Nominated Supervisors, Approved Supervisors & any other staff who have been granted
approval by the Kekeco Childcare Pty. Ltd., the use of a Kekeco Childcare Corporate Credit/Purchasing Card. This
policy covers:

Procedure
1. Conditions of Use
Corporate credit/purchasing card use is restricted to business purchases only and in circumstances where no other
alternative payment option exists or it provides a more efficient procurement or reduced administration costs.
Corporate credit cards should not be used for purchases of a private nature, under any circumstances.
Corporate credit/purchasing cards are not to be used for cash advances under any circumstances.
Card holders must have financial delegation and their individual transaction limits must not exceed their delegation.
Transactions must be within approved budgets. Corporate credit/purchasing cards should be secured and guarded
against improper use at all times.
2. Goods and Services Tax (GST)
Kekeco Childcare Pty. Ltd. is eligible to claim back the GST paid on a monthly basis, providing that the original invoice
meets the criteria for a tax invoice as defined by the Australian Taxation Office (ATO). GST is payable on all goods and
services, except whether the good or service is eligible for GST fee status, as defined by the Australian Taxation Office
(ATO).
3. Monthly Reconciliations
Upon use of the credit card, the relevant receipts/documents must be forwarded immediately to Chree Dickinson to
enable the monthly reconciliation and payment to be completed. Corporate credit cards are paid in full at the end of
every month. The cardholder statement is received in the first week of the following month. Chree Dickinson reconciles
the documents received during the month to the credit card statement. The reconciliation and relevant documents are
authorised in line with the company authorisation processes.
The Managing Director of the Kekeco Childcare Pty. Ltd. will be provided with a copy of the monthly reconciliation for
each Corporate Credit Card.
4. Fringe Benefits Tax
When the cardholder uses a Corporate Credit Card to provide food or drinks at a social function or any other staff
related function, the number of people attending and the number of employees must be advised on the relevant
documents, to enable compliance with the Fringe Benefits Tax legislation.
5. Loss or Theft of Credit Card
The loss or theft of a Corporate Credit Card must be reported immediately to the National Australia Bank on 1800 033
103 24hours a day 7 days a week and then the Jennifer Kearney on 0418 179 179 or Chree Dickinson on 0404 362
751 as soon as possible after reporting it to NAB.
6. Misuse of Credit Card
Any misuse of Corporate Credit Cards will result in future use by the cardholder being withdrawn. In addition, action in
respect to the Kekeco Childcare Pty. Ltd.’s Code of Conduct will be pursued. Corporate Credit Cards are issued to
Kekeco Childcare Pty. Ltd. staff who are in a position of trust in regard to the use of company funds. Improper use of
that card may render the cardholder liable to disciplinary/legal action and/or criminal prosecution. Chree Dickinson will
prepare a report for the Chairman, in the event of a significant instance of unauthorised use of a credit/purchasing card
as soon as an inquiry into the unauthorised use has been completed.
7. Return of Credit Card
The Corporate Credit/Purchasing Card must be returned immediately Chree Dickinson or Jennifer Kearney
