VADO Board Meeting
Oct 27th, 2013 4pm
Sanford Board Room
Attendees: Darin Jerke, Pam Ford, Kara Johnson, Kris Kallsen, Angie Callahan, Marie Dahlhoff, Ellen
Hanson, Pam Hanson, Cory Berg, Jessica Johnson, Adrienne Lewis, Faye Haggar
Meeting called to order by Marie Dahlhoff (Stephanie Rissler out sick) at 4:02pm
September 29th minutes: no minutes were available at this meeting; no previous minutes approved
BUSINESS:
President Report – presented by Marie Dahlhoff
Status of Intern – Autumn was approved by Stephanie Rissler to start work the coming week; Tuesdays
and Thursdays for 2 hrs a night, 6-8pm (not available Saturdays). She will train with Kris K for an
undetermined about of time. Autumn will also be available as a possible sub if Kris is out of the studio.
Studio manager contract – Kris Kallsen said that she is concerned with the number of duties for the studio
manager position. She feels that the duties would take 20 hrs a week, not the 10 hrs. that are allotted. The
executive board will review the duties before the final contract is presented.
Studio Manager Report – presented by Kris Kallsen
Class size update / Cancellation in classes – There are 185 registered dancers (does not include SESDAC
& Country Line Dancers). There were 40 students who did not return from last year, but we have 50 new
dancers. Marie Dahlhoff asked how many multi-class students we have. There are 43 taking 2 or more
classes.
Supplies / equipment needs – Kris K requested a binder with dividers, band aids, and cleaning supplies.
Action: Marie D. approved these purchases
Vice President Report – presented by Marie Dahlhoff
Descriptions of duties – Marie D. presented the “Duties of Board Positions” to the group (attached).
These were created by the ‘Board Duties’ committee. There was discussion as to whether the Co-Vice
President position is in combination with the Artistic Director position, or separate. Adrienne L. is
currently filling both positions because there were no interested persons for the Co-Vice President
position. Adrienne agreed to step down as Co-Vice President if the Artistic Director could be considered
as a member of the Executive Board.
Motion by Faye H., seconded by Marie D. to add the Artistic Director as a 6th executive officer.

Motion by Angie C, seconded by Darin J. to accept description of duties.

John Grayson meeting – Exec Board members met with John Grayson. Marie provided an overview of
the meeting. The board will develop goals and a mission statement at a future time. Marie also shared
the Mission map that John provided (attached).
Treasurer Report – presented by Angie Callahan
Treasurer’s Report – Angie shared the current treasurer’s report (attached).
Workmen’s compensation increase – We are required to have all instructors, per state mandate, enrolled
in VADO’s workmen’s comp insurance. Angie shared that instructors that were also executive board
members would cost VADO an additional $240 a year/$20 a month (per instructor on executive board).

Fundraising Chair report – presented by Faye Haggar
Middle school dance – The middle school dance in October raised $400. The executive board will
discuss how to allocate money.
Sugar Plum Tea Event – Faye H. shared estimated expenses with the group. An official cost projection
will be created in a spreadsheet and shared with the board. Committee members include: Pam Ford and
Darin Jerke. Faye also shared the draft of the Tea ad.
Recital Report – presented by Pam Hanson
Recital committee met on Oct. 17, 2013.
*Instructor solos will be limited
*Cory B. and Pam H. to start measuring dancers in November
*Performance line-up to be ready in February/March
*Need an assistant state manager for 2014
*Studio manager to purchase $75 iTunes card for music purchases
*RVP video recording?, Erin Allen photography?
*Costume deposit of $25 due by Dec. 1st for all costumes
*Jan. 19th costume and music deadline
*Have a contest for recital program cover artwork
*There will be a 3 minute limit for music per class, 1 performance per class
Pam H. shared possible recital dates and coordination with Vermillion High School theatre.
Motion by Marie D., seconded by Faye H. to change the recital day to Sunday, May 18th, 2014.
Aye: Unanimous (Stephanie will report this date at the November school board meeting)
NEW BUSINESS:
1. Marie mentioned holes in new floor in Studio B. Discussion as to what is causing it.
2. Julie @ Sanford Nursing Home would like dancers to perform in November, January and February.
Possibly have 2-3 classes perform together (so the performance lasts longer than 3 minutes).
Action: Marie to provide a sign-up sheet for instructors.
3. Ruth Scott’s daughter Maddie will be in town for the holidays. VADO to approach her about offering
a class for instructors.
