Finance Assistant

DURATION:
12 months part time 80%
CHARACTERISTIC DUTIES
This position is responsible for ensuring the consistent and efficient administration of
projects for which the IUCN Global Species Programme in Cambridge has financial and
reporting responsibilities.
The Finance Assistant will work closely, and support the roles of, the Financial Officer
and Project Administration Officer, as well as project managers and the UK Manager in
Cambridge.
SPECIFIC DUTIES
Administration:
 Maintain and update travel authorisation records for staff
 Regularly updates the Asset Register, monitor additions and disposals (disposal
forms, acquisitions recorded)
 Monitor and ensure annual Insurance premiums are purchased and any
Insurance claims are processed
 Keep the UK office Bank mandate up to date and ensure it is accurate
 Administer office contracts as requested
Finance:
 Processing agreed purchase orders, checking against invoices and requisition.
Maintaining an updated filing system of all accounting related files;
 Invoicing suppliers and processing submissions to donors.
 Process expense claims, by checking currencies, NAV input and completing and
making payments to reimburse staff members.
 Bank reconciliation of balance sheet accounts and of current account.
 Arrange petty cash replenishments and maintain agreed level of cash in hand for
disbursements; prepare petty cash vouchers, obtain approval and make
payments. Reconcile petty cash on daily basis. Act as custodian of petty cash
and ensure accurate record keeping.

Arrange and process bank payments
Check travel advances, travel claims and other settlement of advances and
process journals in the system
Support Finance Officer on monthly staff payroll process and in the end of year
financial processes
Follow company policy by calculating CO2 emissions for all flight purchases and
keeping accurate records for reporting purposes.
Support and work with the Finance Officer on the monthly cash flow and assist in
the preparation of finance documents for the IUCN UK charity
The above job description contains the main duties and responsibilities for this position.
However, in an organization such as IUCN, staff members are expected to show
flexibility in their approach to work and be willing to undertake other tasks that are
reasonably allocated to them but which are not part of their regular job description.
Where any task becomes a regular part of an employee's responsibilities, the job
description will be changed in consultation with the employee and the Human
Resources Management Group.
REQUIREMENTS







Full or part qualified in the Association of Accountancy Technicians qualification
Strong experience of book keeping and working in a finance role, preferably in
the conservation sector.
Strong communication and team working skills, desirable to have experience with
remote working teams
Proven use of working with multiple exchange rates
Strong computer skills in Microsoft office, in particular Excel and experience
using accountancy software
Fluency in written and spoken English is essential;
Ability to work effectively with diverse multicultural and multidisciplinary teams is
essential.
