School Visitors Policy and Procedures
Policy Statement
The Governing Body and Staff of Sherwood Park Primary School assure all visitors a warm, friendly
and professional welcome, whatever the purpose of their visit.
The School has a legal duty of care for the health, safety, security and wellbeing of all pupils and
staff. This duty of care incorporates the duty to “safeguard‟ all pupils from subjection to any form of
harm, abuse or nuisance. It is the responsibility of the Governing Body and senior staff to ensure that
this duty is uncompromised at all times.
In performing this duty, the Governing Body and School Staff recognise that there can be no
complacency where child protection and safeguarding procedures are concerned. The School
therefore requires that ALL VISITORS (without exception) comply with the following policy and
procedures. Failure so to do may result in the visitor’s escorted departure from the school site.
Aim
To safeguard all children under this school’s responsibility both during school hours curriculum and
out of school hours activities which are arranged by the school.
The policy applies to:









All staff employed by the school
All external visitors entering the school site during the school day or for after school activities
(including peripatetic tutors, sports coaches, and topic related visitors e.g. authors, journalists)
All governors of the school
Parents and volunteers
All pupils
Other educational-related personnel
Building and maintenance and all other independent contractors visiting the school premises
Independent contractors who may transport students on a coach, minibus or taxi
Volunteers who carry out services
Procedure:
1. All visitors must report to the main entrance of the School and sign in the School Visitor
Book & Fire Register’ stating name, the organisation they represent, who they are visiting,
signature, time of arrival and car registration, if relevant.
2. If part of an external organisation e.g. SALT/Inspector, staff will ask to see their ID badge, to
confirm identity.
3. Visitors will then be given a visitor’s badge. This will be worn around their neck/or visible at
all times whilst on the premises.
4. All visitors will be given a copy of the ‘Visitors Protocol’ and asked to sign to the register to
acknowledge receipt
5. Visitors will then be escorted to their point of contact OR their point of contact will be asked
to come to reception to receive the visitor. The contact will then be responsible for them
while they are on site. Visitors will not be allowed unsupervised access to pupils.

6. A member of the SLT at the School and the School office, should be made aware, of any
visitors who will be working with children or within the classroom before the activity can
commence.
7. Visitors will be asked to refrain from using any mobile electronic devices (e.g. mobile
phones/tablets) whilst in the school and advised that mobile devices must not be visible in
locations where children could be present.
8. Any visitor who is not displaying a visitor’s badge/not recognised by staff will be approached
calmly and politely and escorted to the school main reception to complete the signing in
process or be asked to leave the premises.
9. Groups who use the school premises will sign in all visitors using a group signing in sheet.
They will be asked to wear ID stickers. The rest of this policy and procedure is still applicable.
10. Prospective parents on an initial visit are asked to sign in but are not required to wear
individual badges. They are accompanied at all times during their visit.
11. All visitors are asked to sign out when they leave the school.
12. A member of the Office Staff is responsible for taking the ‘School Visitor Book & Fire
Register’ to the fire assembly point in the event of a fire (including a practice).
Staff Development
As part of their induction, new staff will be made conversant with this policy for External Visitors and
asked to ensure compliance with its procedures at all times.

Health & Safety

Your safety and well-being during your visit are important to us. As a visitor you have a legal
duty to care for the Health and Safety of yourself and others.
Pets

Unless by prior agreement with the SLT, animals are not allowed on the school site (including
school playground areas) for the safety of our pupils.
Classrooms

Do not enter classrooms or playgrounds unless escorted by a member of staff or by prior
arrangement.
Emergency

Our fire alarm is a continuously sounding bell. If the Fire Alarm sounds, leave the building by the
nearest exit and proceed to the designated Assembly Point. There is one upper floor accessible
by lift. As this lift is not fire protected, evacuation necessitates use of the stairs. Do not re-enter
the building until you are told it is safe to do so.
Accidents

Any illness, injury or accident must be reported to the school office.
Smoking

It is against the law to smoke on school premises (this includes e- cigarettes).
Property

The school accepts no responsibility for any loss or damage to visitors’ property or vehicle.
Safeguarding

If you have any concern that a child has been harmed, is at risk of harm, or you receive a
disclosure, please contact the School Office as quickly as possible, and ask to speak to a member
of staff with responsibility for child protection.
Mobile devices

Please refrain from using mobile devices in school. Mobile devices must not be visible in
locations where children are present. PLEASE WEAR THE PASS AT ALL TIMES AND RETURN TO
THE SCHOOL OFFICE BEFORE LEAVING
