SACWIS Functional Area Release Notes 1-16-2014 ADMINISTRATION When a user clicks one of the navigational links at the bottom of the page ("home," "search, "help & training" or "logoff") a warning message appears asking the user if they are sure they want to navigate away from this page. ADOPTION Due to the new MEPA Inquiry functionality, a new tab has been added within the left hand navigation of an Adoption case to view all inquiries a child has been linked to as a Child of Interest. Updated the pre-adoptive staffing (PAS) screen to now display all the siblings listed as included in the record. In addition, the PAS and Matching Conference have been changed to tabs (no longer hyperlinks). When the Pre-finalization Adoption Assessment is marked completed, all topics now have an Expand Full Screen link so the entire narrative can be read without having to generating a report. CASE The end user is now able to edit all applicable parts of the case plan after the case plan utility is used by a state worker to remove the case plan approval. Case Member Effective Date is now updating correctly when being modified by a state system administrator. Users now have the ability to address the parent closure letter to multiple parents/guardians. The section is now a push box similar to selecting the children. The parameters page of the Case Closure Letter to Parents added the word "Children" to the selected case member section. The change will indicate that this field is for the purpose of selecting the children on the case that will be impacted by the case closing. Case Member Effective Date is now updating correctly when being modified by a state system administrator. The Foster Care Exit Interview Tickler now disposes correctly when the Exit Interview has been completed. In addition, when selecting View for a 'No' (Unable to Interview the Child) record after creating it, the 'Were you able to interview the child" question was presenting in error. After closing, selecting View would open the record, but in Edit rather than View mode. This issue has also been corrected. COURT FEDERAL REPORTING Page 1 of 5 SACWIS Functional Area Release Notes 1-16-2014 FINANCE Defect Issue: Reimbursements are not being issued by the system when an agency's provider status is changed from pending/ended to certified. Resolution: Code has been updated in the system to flag impacted payment requests when new certification information is entered so reimbursements are created where applicable. Issue: There is no way for the user to override an initial program eligibility determination in the system. Resolution: A new grid has been added within the ‘Eligibility Details’ screen which allows the user to select a check box indicating the child should not be eligible. The user must then enter comments prior to saving the record. This will change the eligibility determination result from ‘Yes’ to ‘No’. Issue: The user is receiving a validation error indicating a service authorization needs to be approved in order to calculate the cost of care for determining ‘Need’. This validation message is being received even when the placement is an unpaid Kinship placement. Resolution: The validation error message is no longer received when the placement is a Kinship placement type. Issue: An error message was being received when state personnel attempted to enter HMO disenrollment information into the system. Resolution: The error message is no longer being received when HMO disenrollment information is entered in the system. Issue: The contact person’s name and telephone number are not being correctly displayed on Report 226 - The JFS 01449 - Determination of Special Needs for Medical, Mental Health or Rehabilitative Care report. Resolution: The contact person’s name and phone number are now correctly displayed based upon the logged in user generating the report. Issue: Statewide expenditure data is not available per agency. Resolution: A new 4280 Statewide Detail Report has been created to consolidate expenditure information for all agencies. The report displays foster care payment and reimbursement totals per agency per placement type as well as adoption subsidy expenditure information. Issue: The system is displaying an error when the user attempts to view rosters that have been routed to another user for approval. Resolution: The error is no longer being received when viewing a roster that has been routed for approval. INTAKE The Child Harm section in the Ongoing Case A/I will now display all the child participants for the intake(s) linked to the tool, regardless of their role(s). Users will no longer receive a java error when entering relationships of Legal Daughter/Legal Son/ Legal Child to a female participant. Because there is no reciprocal relationship which applies (a child may have a 'Legal Father' but not a 'Legal Mother'), the user will have to manually select a reciprocal relationship. Restricted intakes will remain accessible while in pending status. Once the status is no longer 'Pending,' rules for restricted intakes apply. Page 2 of 5 SACWIS Functional Area Release Notes 1-16-2014 When a restricted intake is copied, the newly created intake will not be restricted. When the State System Admin corrects a Screening Decision, the Status Date will update when the current status is screened in, screened in AR, screened out, or I&R. Intake Screening Decision Date & Time filters have been added to the Intake Search Screen Intake search results for I &/or R intakes will now include those which have been linked to a case or removed from the workload. To record Law Enforcement Involvement, the time field is now required and no longer defaults to 12:00 AM. When recording a disposition, at least one Contributing Factor is required. The system will no longer allow 'No Factors Apply' to be selected when any other contributing factor is also selected. A validation message will display and the user can modify the selection(s). Workers will now have the ability to document 'Unable to Locate' with the disposition for an Alternative Response intake, without having to record a pathway switch. On the disposition screen for an Alternative Response intake, an 'Unable to Locate' checkbox has been added. When the checkbox is marked, a validation message will appear, asking the user to verify that no contact has been made with the family. This is verified by clicking Okay, or the user can Cancel. The case disposition for the intake will display as 'Alternative Response (Unable to Locate)'. The user will no longer receive a java error when canceling out of a PSA. When changing a disposition, the original harm description (if any) will pre-populate to the selected harm description field, but can be changed if needed. At least one harm description is required; 'Not Applicable' is an available option. 'Not Applicable' may not be selected when another harm description value is also selected. In this event, a validation message will display and the user can modify the selection(s). The Person Overview report inside each case has a new section titled the Child of Interest History. This section will generate all inquiries made on the child. PERSON Due to the new MEPA Inquiry functionality, a new expando has been added on the Person Profile - SACWIS History page for viewing the all inquiries a child has been linked to as a Child of Interest. Due to the new MEPA Inquiry functionality, a new column for Provider Type Status has been added to the Provider History expando in the Person Preview The Inquirer History fields in the Person Preview had been updated to reflect the changes made in the Inquiry process. Person Merge validation process was updated to include Specified Child of Interest. If a person merge is attempted and both person ids are participants and/or Specified Child(ren) of Interest on the same inquiry, validation message appears stating, "Retain and Remove person are both participants of the same Inquiry". Due to the new MEPA Inquiry functionality, the Person Overview Report (rpt 056) has been updated to include a new Section 11: Child of Interest. PROVIDER Inquiry search now ignores if there is an extra blank after the id so the Inquiry will come back in the search. Recruitment plans Agency list is alphabetized. Associated Child is now seen on the activity log detail page, even if they are currently an inactive member of the case. The system no longer duplicating associated child if linked to more than one case. The user will now complete a person search to add a known child to an inquiry. This way if the child is adopted in the future the identity of the child will be security approved through the seal adoptive child process. The user now can create Inquiries and indicate a specific known child by the child's person ID. The user will then be able to generate a variety of reports based on the specific child. The user can also complete an Inquiry on non-odjfs providers and use the inquiry to create a non-odjfs adoptive provider who resides outside of Ohio. Screen changes to the Inquirer Tab prevent a user from ODJFS from being the recommending agency for any Home Providers. Changes have been made to the Race and Ethnicity fields in the Optional tab of the Inquiry to match the Person Race and Ethnicity fields. The system will provide a validation upon apply/save of an inquiry record if the role of inquiry 1 is not entered. The Inquiry process has been improved (including the addition of new activity types) to assist the user and in order to meet MEPA requirements. Ability to create specific Non-ODJFS provider types from Inquiries, as well as link specific inquiry types to existing Non-ODJFS providers when applicable. Inquiries will not be linked if the provider types have no end date. Users will receive a validation message: 'Provider Type for selected Provider ID cannot be linked, 'Foster Care' 'Adoptive Care' or 'Foster Care & Adoptive Care' provider type must have an end date before a new one can be linked'. " Provider Contacts information will populate using Person Contacts data for Inquirer 1 upon linking an inquiry. Inquiries now displaying under the new "Inquiries link" The "Adoption Home Provider-Out of State" provider type has been removed from the "Add Non-ODJFS Provider" process. This provider type is now titled "Adoption Out of State" and is now created through the Provider Inquiry process. On all Home Providers, current members with the role of 'Child Household Members' must be under the age of 18, while current 'Adult Household Members' and 'Applicants' must be 18 years old or older. If the age doesn't match the role, the user will receive an error message. Page 4 of 5 SACWIS Functional Area Release Notes 1-16-2014 When 'other' skill is selected for a provider member and user does not enter a comment in the comment box prior to selecting save, the system now retains the skill(s) selected for the member however displays a validation message stating a comment is required to save information selected. When adding an Other Service on a provider, the effective date now remains as what was entered by the user, not changing back to current system date if the Service Type or description changed. The Linked Inquiries link on Provider Overview screen has been renamed Inquiries. When the user clicks to enter the Inquiries screen, the screen now has two tabs titled Linked Inquiries and Associated Inquiries. The Linked Inquiries tab shows inquiries made that resulted in the creation of a Provider Type for the provider. The Associated Inquiries tab shows all other Inquiries the provider has made regarding children. Testing for no impact to Non-ODJFS merge. Merge is working correctly. Changes have been made to the Inquiry Profile report to match changes made to the Inquiry process and to comply with MEPA. A new report has been created called the "Inquiry Search Report." The report is located on the Inquiry search screen after a search has been requested by the user. The report is based on what the user filters to search by and thus can be used in a variety of ways by the user regarding Inquiries.
