WHEREAS the Parents are the natural parents/foster parents/legal guardian (use
applicable term) of

male/female person; and WHEREAS Parents wish to deliver the Child into day- care of
The Play Play House and WHEREAS The Play Play House is willing and prepared to
undertake the temporary daily care of the child.

The Parties hereby agree as follows:
1. REGISTRATION AND DOCUMENTATION:
Parents hereby register the Child at The Play Play House. The following documents are
attached hereto and shall at all relevant time, form an integral part of this agreement:







The Registration Package, initialled and signed by the Parents/ Foster Parents/
Legal Guardians consisting of:
o The Registration Form
o The Parents Agreement
o The Accessories list
o The Holiday Schedule.
Certified copy of child’s Birth Certificate
Copy of updated inoculation chart
Any medical documentation or medical letters if applicable.
Copy of Medical Aid Card
Copy of the parents’ ID documents.
Authorisation letters for any other person collecting your baby/toddler, including a
copy of their ID.
The Parents undertake to comply with any other criteria and regulations stipulated by
the Play Play House insofar as the registration of the child is concerned. The terms of
this contract is non-negotiable and may not be disregarded.
2. Fees Payable
2.1.1 Registration Fee
The initial once off non-refundable registration fee is R650.00 (Six Hundred
and fifty Rand)
2.1.2 Monthly Fee
2.1.2.1 A fee of R2650.00 ( Two Thousand Five Hundred Rand) payable monthly
in advance in respect of each month up to and including December,
whereafter the annual fee increase will be implemented and the monthly fee
will be adjusted accordingly.
2.1.2.2 This fee will include two Extra Mural activities for the year. These activities
will not be at an additional cost to the parents except for the annual
registration fee of the activities.
2.1.2.3 The free extra mural activities is offered strictly to parents whose fees
remains paid on time (1st of every month) throughout the year. If at any point
a late payment is made, your child may attend the extra mural, however this
will be at your cost. In order to ensure consistency and fairness, this policy
will be implemented regardless of surrounding circumstances.
2.1.2.4 We reserve the right to change the provider of the free extra mural at our
discretion.
2.1.2.5 In the event you need to enrol your child for less than 12 months the
monthly fees will be R2850 per month (full day) and R2500 (half day) and you
are still required to give a calendar month’s notice in order to terminate our
services.

2.1.2.6 Please note that December will be seen as a full month. The full monthly
fee is payable during December month although the centre will be closed
approximately from the second Friday in December to the first Wednesday in
January. We will also close in March/April to accommodate the Easter break
2.1.2.7 All fees are due in advance. There will be no refunds of reductions for
days missed. This includes; sick days, public holidays, Play Play House
holidays etc.
2.1.2.8 There will be an annual increase in the fees.
2.1.2.9 Payments are to be made no later than the 1st of every month. Internet
payments (EFT) are preferred.Use your child’s Name and Surname as
referral on payment.
2.1.2.10 Late payments (after the 1st of every month) will be charged with an
admin fee of R50.00 per day.
2.1.2.11 By the 5th of each month, any parent with an unpaid account (unless
discussed with Management before such time) will no longer be permitted to
utilise our services until fees are brought up to date. A penalty of an additional
month’s fee in addition to the cancellation fee (one calendar month notice) will
be levied in these circumstances.
2.1.3 Annual Renewal Confirmation Fee
A non-refundable fee of R200.00 (Two Hundred Rand) will be payable on or
before the 1st of October each year, to confirm your child’s place for the
following year. Current year’s enrolments after end of July will only pay
annual renewal confirmation fee the following October. In the event that you
do not confirm in October for the following you will be required to pay the
R650 registration fee applicable to all new parents.

2.1.5 Half Day Fee
A Half day fee of R2 500 ( Two Thousand Two Hundred Rand) will be
payable monthly in advance in respect of each month up to and including
December, whereafter the annual fee increase will be implemented and the
monthly fee will be adjusted accordingly. Half Day (06:30-13:00) is only
offered for children aged 3 and older. The late pick- up fee (please refer to 3.
Centre Operating Times) will apply for pick-ups after 13:00.
2.1.6 Siblings Discount
Parents with more than one child at the school will qualify for a 5% discount
on the additional child’s fees.

2.1.7 Upfront Annual Payments
A 10% discount is given for an upfront payment of 12 months’ fees before the
31st of December (One upfront payment of R27 000 for one child).
2.1.8
Visitors
A Daily and weekly rate for visiting children/ holiday clubs will be levied.
Please consult the payment schedule for these fees. The weekly rate is only
effective should the child be enrolled for 5 consecutive days.
2.1.9 Extra Mural Activities.
Two Extra Murals will be included in your school fees. These activities will not incur and
additional expense to the parents, but is a value added service that the school offers.
In the event that you would like to select additional/alternative activities, you can do so
at your own cost.
3. OPERATING TIMES OF THE SCHOOL:
The School will operate strictly from 06:30-18:00. A late fee of R50 for the first ten
minutes will be charged. Thereafter R50 for every 5 minutes or part thereof will be
applicable. The late pick-up register will be signed at reception by both the teacher on
duty and the parent is required to settle the late fee via EFT on the day the late coming
occurs. Failure to settle timeously will result in an admin fee of R50 levied per day the
payment is overdue.
4. HOLIDAY SEASONS
The Play Play House continues as per normal during school holidays and only closes as
follows:



The second Friday in December to the first Wednesday in January.
One week during the Easter Break.
Public Holidays as indicated on our year planner.
Kindly take note that The Play Play House will close at 15:00 for the holidays. Please
ensure that you pick up your little one no later than 15:00 on those specific days.
Standard late pick-up fees will apply. (As stipulated in point 3, operating times of the
school).
5. VISITS TO SCHOOL
We have an “open door” policy for our enrolled parents; parents can at any time during
the day, without prior appointment, visit the school. Interested prospective parents must
be accompanied by a Play Play House staff member. Family members may not spend
time during the day visiting children at the school without the school’s and parents’
permission.
6. CONSENT TO EMERGENCY MEDICAL TREATMENT
Should any medical emergency arise, of whatever nature, and which emergency
requires the Child to receive urgent and immediate medical care, the Parents and grant
The Play Play House the right to attend to such medical requirements of the child. This
consent and grant The Play Play House, as set out above, is to be interpreted in a wide

sense and inclusive of The Play Play House Personnel. For purposes defining
“emergency”, “urgency” or immediate medical care”, The Play Play House has the right
and discretion to determine whether such a situation qualifies as being an emergency.
The Parents confirm that they have granted their written authorisation under the
registration form to The Play Play House, to give effect to any emergency treatment or
actions to be taken.
6.1 The Parents confirm that they are fully responsible for the total medical
expenses.
6.2 The Parents are responsible for keeping all emergency contact phone numbers
up to date.
6.3 Emergency Medical Treatments:
6.3.1 In the event of a minor accident, the school will administer First Aid, according
to the training and experience at the school. The parent/s will be contacted
immediately if it is necessary.
6.3.2 In the event of an serious accident, the school will;
 Administer first aid, if possible
 Either call an Ambulance to transport the child to an Emergency Room or
 Transport the child to an Emergency Room
 Call a parent or emergency contact if parents cannot be reached
 Stay with the injured child until a parent or appointed contact person
arrives.
7. HEALTH POLICY
For the protection of all the children, any child with an upset stomach, rash, tonsillitis,
vomiting, diarrhoea, eye infection, chicken pox or any communicable condition, or has a
fever of 38 degrees, attendance MUST be discontinued until the child is symptom free
for at least 48 hours. If further medication is required to complete the prescription cycle,
we can only then, after 48 hours absence of symptoms, administer the medicine.
The School will use their own discretion as to whether a child is fit to attend our school.
If a child becomes ill at the school, a parent will be promptly notified and the parent or
designated person needs to collect the child as soon as possible.
Please take not that a clearance letter from a medical practitioner is required for the
following conditions:





Any eye infection ( e.g. pink eye)
Gastroenteritis
Rotavirus
Hand Foot and Mouth disease and
H1N1 Flu (Swine Flu)

8. MEDICATION
Under the Medicines and related Substances Act of 2002, we are not permitted to
administer and dispose any medicine. Children who are sick and need medication are
required to stay home until they are well enough to return to school or at least be kept
home for the first two days of treatment. Prescription medication will only be
administered after the child is symptom free for 48 hours.
If further medication is required to complete the prescription cycle (e.g. antibiotics), we
can only after two days of absence, administer the medicine.
Therefore the rule is: Children on Antibiotics or any prescription medicine MUST
be kept at home for the first two days of treatment (48 Hours). Items must be
labelled and placed in the original container. The appropriate Medicine Register in the
child’s Communication book must be signed DAILY and completed with clear
instructions by the parent.
9. CONTAGIOUS ILLNESS:
The Manager of the school must be notified immediately if a child contracts or has been
in contact with any contagious illness e.g. mumps, Chicken Pox etc. If a contagious
illness has been diagnosed where several children at our school has been affected, a
Medical Practitioner will be consulted and on his advice, the school may be closed for a
few days. A disinfecting service will disinfect the school.
10. OUTSIDE PLAY DURING WINTER TIME
Children need to play outside every day for Health reasons. Outside play will be
determined by the weather. Please send along appropriate clothing for your child (warm
jacket, hat and gloves). If your child is too sick too sick to play outside or to take part in
normal school activities, they need to stay at home until they are symptom free for at
least 48 hours. When temperature is lower than 15 degrees, the children will not play
outside that day.
11. OUTSIDE PLAY DURING SUMMER TIME
The Parent must ensure that they send along sun block and a wide brimmed sun hat for
protection from the summer heat.
12. ALLERGIES
The Parents must indicate any allergies clearly on the Registration Form, and the
Parent must ensure that the Manager and other staff at the school are informed of this
matter.
13. NUTRITION, SUPPLEMENTS, MEDICATION AND DISPOSABLES
The Play Play House will supply breakfast, lunch and two snacks for the children from
age 1, unless otherwise agreed upon between the Parties.
13.1
Baby Class:
13.1.1 The Parents will supply all nutrition to be administered to the baby, unless
otherwise agreed upon by the Parties.
13.1.2 The Parents will supply all disposable material such as nappies, wipes and
creams to be used for the baby.

13.2
Toddler Division:
13.2.1 The School will provide breakfast, lunch and two snacks unless otherwise
agreed upon by the Parties; or unless there are dietary concerns.
13.2.2 The Parents will supply all disposable material such as nappies, wipes and
creams to be used for the toddler.
13.2.3 If there is any dietary concern such as Allergies/medical/ religious reasons
regarding child, The Parents will supply own food and indicate it on the
registration form.
13.3
No Discount is applicable in these instances.
13.3.1 Parents must supply your own food if the child has any allergies or whatever
nature or in case there is a dietary concern regarding the child.
13.3.2 In the event that the Parents fail to provide any nutrition, medication or
disposable materials, The Play Play House will provide such nutrition,
medication or disposable material and will charge the cost thereof to the
Parents. The parents hereby agree to pay such costs on delivery of a Play
Play House invoice.
13.3.3 Breakfast will be served at 08:00 daily. No Breakfast will be served after
08:00. Please ensure that your little one has had breakfast if your child arrives
late.
13.3.4 Please do not pack any sweets, chewing gum or other snacks.
13.3.5 We provide tasty meals that are put together for small children. Menus can
change according to the season. A copy of the weekly menu will be displayed
on the Notice Board at Reception for your perusal.
14. PICKING UP OF CHILDREN
The child must be picked up by 18:00 every day. The Play Play House will only allow
the Parents and pre- arranged adult persons who is possession of a written
authorisation letter from the parent to pick up the child from the centre.
15. PARENTS RIGHT TO CUSTODY
Should the Parents’ right to custody of the Child become limited in any manner
whatsoever, whether by way of divorce or otherwise, the onus rests on the parent who
retains legal custody of the child to supply the Play Play House with a court order to
such effect. The Play Play House will not be held liable for rendering the possession of
the Child to a parent who may no longer be entitled thereto if The Play Play House did
not receive proper notification.
15.1
Custody/Visitation Issues:
The Play Play House must have a certified copy of any custody and visitation
orders or agreements in order to enforce them.

16. PERSONAL BELONGINGS
The Parents will mark all clothing, including shoes and accessories clearly as well as
bottles, cups and dummies. Staff members of The Play Play House will not be held
responsible for the loss of items.
Children are NOT allowed to bring books, toys, CD’s, sunglasses etc. to the school
as the staff cannot be held responsible for these articles and it causes conflict and a lot
of tears.
17. CLOTHING
The children are very active and should wear comfortable clothing and shoes suitable
for play. Please pack extra clothes in your child’s bag every day; some warm clothes
and cooler clothes to accommodate weather changes.
Do not dress your child in clothing that you would not like to be stained as we
encourage children to play and explore during play and creative activities. The Play Play
House cannot be held responsible for damage to any clothing.
Do not let your child wear small hairclips, earrings, bangles and necklaces.
Please maintain your child’s nails by keeping them short in order to prevent scratching
incidents.
18. ROUTINE
The Play Play House has a structured routine that they follow; a routine schedule will be
available on request from the Centre Manager and will also be on display in your child’s
class.
19. EVALUATION REPORTS
Parents will be issued with evaluation reports in June and November during Parent’s
day. If a child experiences any difficulties, parents will be consulted and the child can
then be remedied pro- actively.
20. COMMUNICATION
Your child is our highest priority and will personnel will be focussed on their care the
whole day long, we request that the Parents abide by the following Communication
regulations;







Minimal telephonic contact is made with personnel during the day.
Refrain from discussing your child’s routine with the General Assistants, always
asks the teacher on duty to assist you.
The preferred way of correspondence is via email/ communication books.
Parents may not ask staff for their personal telephone/ cell phone numbers.
Parents may not contact our Management and our staff outside of operating
hours unless it has been discuss between the parties beforehand.
All concerns or problems are to be discussed with the Manager by appointment.
In case of Emergencies, however, the Parents are most welcome to contact The
Play Play House immediately.

The Parents must inform the Manager immediately if there are any changes to
their contact details such as telephone numbers, email and physical addresses.
Please do not hesitate to discuss any changes or difficulties at home with the
Manager as this helps us to understand and support your little ones’ better.
Newsletter will be mailed to parents on a monthly basis.
21. INTERVIEWS
The Parents are welcome to make an appointment with the Manager at any time to
discuss their child. Your child is very important to us and we would like to discuss
him/her with you in a relaxed manner. It is unfortunately not possible to have long
discussions during the mornings or afternoons; therefore a scheduled appointment with
the manager will be arranged, whereby the Parents will have the undivided attention of
our staff.
22. CANCELLATION
22.1.1 The Parents may at any time, cancel this agreement by giving one calendar
months’ notice in writing, signed by both Parents and addressed to The
Play Play House.
22.1.2 Upon any cancellation where less than a calendar months’ notice has been
given, Parent’s still remain liable for fees throughout the notice period.
22.1.3 If a Parent withdraws their child during this notice period, the fees shall still
remain payable.
22.1.4 If a Parent cancels this agreement and would like to re-join The Play Play
House in a six month period, no registration fee will be payable- though after
six months the registration fee will be payable.
22.1.5 The Parents will be held liable for all legal costs incurred by The Play Play
House to collect outstanding fees.
23. MUTUAL RESPECT
The Play Play House will not tolerate the staff members to be spoken to in an abusive
or threatening manner by parents or children. Such behaviour may result in the
termination of a place at the school.
23.1.1 The parents agree that should they be discontented or upset with any person,
or have a complaint about the school; the parents will discuss this with the
Management at the school.
24. PHOTOGRAPHY CONSENT
The Parents hereby consent and give permission to The Play Play House to use any
photographs, including but not limited to social media, newspapers, magazines or
marketing material. The Play Play House will apply their discretion in selecting which of
the above media to be used.
25. INDEMNIFICATION:
The Parents hereby indemnifies and hold harmless The Play Play House, its
proprietors, agents and employees against all and any claims, damage, loss, cost and
expenses which either may sustain or incur as a result of The Play Play House giving

effect to this contract, which due to any act or omission by the Parents, directly or
indirectly, causes such claims, damage, loss, costs and expenses to arise against The
Play Play House.
The Play Play House has the right to change the registration package as well as rules
and regulations from time to time, if it is in the best interest of the child or school to do
so. An Addendum will be signed by the Parents and added to his/ her existing
agreement or a new agreement, replacing this one, will be signed.
26. ENTIRE AGREEMENT
This agreement constitutes the entire agreement between the parties in regard to its
subject matter. No agreement to vary, amend, add to or cancel this agreement shall be
of any force or effect unless recorded in writing and signed by or on behalf of the
parties.
We, the Parents/Foster Parents/Guardian have read the above-mentioned documents;
we understand the content and are aware what is expected from me as a parent at The
Play Play House.
