DIRECTIVE ON ACADEMIC ADVISING
PART ONE
Aim, Scope, Basis and Definitions
Aim
ARTICLE 1- The aim of this directive is to set out the principles for every kind of academic
advising services provide to the students as well as the procedures and principles regarding
academic advising which shall be followed by the deans/directors of higher school/vocational
higher school, student advisors and students.
Scope
ARTICLE 2- This directive covers the provisions concerning the aims of the academic
advising to be provided to Atılım University students, its fields of activity, administrative
bodies, the duties of administrative bodies.
Basis
ARTICLE 3- This directive was drawn up on the basis of clause (c) of Article 22 and Article
14 of Higher Education Law No. 2547 as well as Article 8 and supplementary Article 2 of the
Regulation on Atılım University Student Registration-Admission, Associate and
Undergraduate Study and Examinations.
Definitions
ARTICLE 4-
(1) The terms and abbreviations in this document shall be defined as follows;
a) Academic Advisor: Teaching staff assigned by the Chair of the Department among
teaching staff of the department (on condition that they are selected among primarily faculty
members and instructors)
b) Department: Departments of faculties/higher schools/vocational higher schools at Atılım
University,
c) Chair: Chair of the Departments of faculties/higher schools/vocational higher schools at
Atılım University,
d) Board of Advisors: The board consisting of academic advisors within the department which
is chaired by the Chair of the department.
e) Dean/Director: Deans of Faculties and Directors of Higher School/Vocational Higher
School at Atılım University,
f) Faculty/higher school/vocational higher school: Faculties/higher schools/vocational higher
schools at Atılım University,
g) Student: Students within the scope of Regulation on Atılım University Student
Registration-Admission, Associate and Undergraduate Study and Examinations
h) President’s Office: The President’s Office of Atılım University
i) University: Atılım University

PART TWO
Performing Advising Services
Aim of the Academic Advising Service
Article 5-(1) Through Academic Advising service, students shall be made aware of their
profession as well as their study programmes; be informed about the opportunities within the
University, faculty, vocational higher school; be guided in case of success and failure; be
assisted while choosing courses. Faculty/higher school/vocational higher school and their
administrations shall fulfill the duties listed below.
Duties of Deans of Faculties and Directors of Higher Schools/Vocational Higher Schools
Article 6- (1) to ensure that the distribution of advising responsibilities among the academic
advisor assigned by the chairs of departments is fair.
(2) to inform the chairs of departments regarding the provision of academic advising service.
(3) to do whatever is needed to resolve the problems about academic advising and to take
precautions.
(4) to report in written the conclusions of “Report of Board of Advisors” which is submitted
by the chairs of the departments at the end of every academic year to the President’s Office.
Duties of Chairs of the Departments
Article 7- (1) to recommend the academic advisors to the administrations of faculties/higher
schools/ vocational higher schools at the beginning of every academic year,
(2) to convey the problems which cannot be resolved by academic advisors to the
administrations of faculties/higher schools/ vocational higher schools,
(3) to supervise the academic advising services and to ensure the operability of the advising
services.
(4) to chair the Board Of Advisors and to submit the report prepared by the Board Of
Advisors to administrations of faculties/higher schools/ vocational higher schools.
(5) to ensure that the office hours of the academic advisors are at least two hours in a week
and these hours are announce to the students.
Duties of the Board of Advisors
Article 8-(1) The Board of Advisors is composed of academic advisors in the
departments/units, which is chaired by department chairs at faculties and by directors at
higher schools. The Board shall meet at least once before the registration week every semester
and information on academic advising service shall be exchanged.
(2) At the end of every academic year, report regarding the problems related to academic
advising service and the solution suggestions shall be prepared to be submitted to deans at
faculties and directors at higher schools/ vocational higher schools.
The Assigning of Academic Advisors and Term of Office
Article 9- (1) Academic advisors shall be assigned by the chairs of the relevant departments
one week prior to registration dates at the latest. Where necessary, the academic advisors may
be changed through the same procedure.
Duties of Academic Advisors
Article 10- (1) to be ready and available at registration, add-drop, withdrawal dates at the
beginning of every academic semester, to hand over his/her duties to another teaching staff
upon the approval of the chair of the department under the circumstances in which he/she
cannot be ready and available and inform the students about this situation at least one day
before registration, add-drop, withdrawal dates at the latest.
(2) to inform the students about the opportunities available at the University/faculties/higher
schools/vocational higher school/departments.
(3) to guide the students in terms of their profession.
(4) to inform the students about the courses; to assist them in choosing courses.
(5) to inform the students about the relevant regulations and directives of the University.
(6) to follow the students’ progress in the courses; to investigate the reasons of failure in case
of student’s failure and try to offer solutions.
(7) to inform the chairs of the departments about the unresolved problems of the students.
(8) when necessary, to refer the students to Student Development and Counseling Centre
within the University for receiving psychological counseling and guidance.
(9) to announce the office hours to the students,
(10) to attend the Board of Advisors,
(11) to approve and finalize the registration procedures of the students under the condition
that students register to a course/add or drop a course/withdraw a course within due time in
accordance with the Regulation on Atılım University Student Registration-Admission,
Associate and Undergraduate Study and Examinations, and bring the three copies of
registration approval document which they have signed; to give one copy of the document to
the Registrar’s office, one copy to the student, and to keep one copy of the document in the
student’s file.
Duties of Students
Article 11-(1) to be informed about the relevant regulations and directives of the University
related to their rights and responsibilities and act accordingly,
(2) to share their academic problems with their academic advisors within the determined
office hours,
(3) to carry out course registration/add-drop/withdrawal procedures in due time every
academic semester in accordance with Regulation on Atılım University Student RegistrationAdmission, Associate and Undergraduate Study and Examinations; to determine the courses
to be registered/dropped/added/withdrawn together with their advisors interactively; to make
sure that they have signed and finalized all the three copies of the course registration
document.
PART THREE
Miscellaneous Provisions
Effective Date
ARTICLE 9- (1) This Directive shall come into effect following its approval by the Senate.
Execution
ARTICLE 10-(1) The President of Atılım University shall execute the provisions of this
Directive.
