Primary Objective
Student Operation is the primary interface between the faculties and Student Services in
relation to the processing of student data. The primary functions include:
 the processing student enrolments and change of enrolments;
 processing of advanced standing;
 recording and publication of unit results;
 ensuring data integrity;
 internal and external reporting of student data;
 testing and implementation of Student Management system versions and system changes.
Key Responsibilities
Under the direction of the Team Leader Student Operations and autonomy expected at this
position level, responsibilities include:
 Act as a point of contact for complex enquiries.
 Ensure the effective and efficient processing of VET and HDR student data related to
Enrolments, Change of Enrolment, Advanced Standing and Assessments.
 Provide advice to VET and Higher Degrees by Research students and staff in relation to
processes for Enrolments, Change of Enrolment, Advanced Standing and Assessments.
 Correct data records prior to submission of quarterly and annual submissions in accordance
with AVETMISS standards.
 Oversee the timely processing of VET and HDR enrolments and resulting received via
Student Operations generic email accounts.
 Assist with the delivery of training programs for Student Operations staff.
 Contribute towards new developments within the Student Management Systems, its current
and proposed interfaces.
 Process complex Advanced Standing requests (RPL, credit transfers and professional
recognition).

 Process outcomes from FAAP1 committee meetings.
 Process Course Completions, Statement of Attainments, Academic Transcripts, invitations to
graduation ceremonies.
 Assist with the organisation of graduation ceremonies.
 Assist with the continuous improvement and implementation of resources for staff and
operational processes within Student Operations.
 Work on projects independently.
 Contribute towards database reviews and process improvement projects within Student
Operations, Student Services, Corporate Services and the Institute.
 Any other duties as determined by the Team Leader/Manager Student Services expected at
the position level.
Selection Criteria
Essential
 Demonstrated interpersonal skills in both written and oral communication with the ability to
build to build and maintain effective professional relationships.
 Demonstrated computer literacy with considerable experience using a range of relevant
software applications.
 Demonstrated ability to be able to work under pressure, meet strict deadlines, and pay strong
attention to detail.
 Proven ability to work independently and as a member of team, with an understanding of and
commitment to good work practices.
 Demonstrated ability to work effectively and sensitively within the social, political, diverse
academic, socioeconomic, cultural, disability, and cultural environments of an Indigenous
organisation.
 Demonstrated ability to work independently and in a team environment
 Demonstrated commitment to participate in formal and informal professional development
activities the team and Student Services.
 Experience with an Oracle based Student Management System in a tertiary provider
environment.
 Understanding of Workplace, Health and Safety, Equity and Anti-Discrimination issues.
