Procedures for Use of the Multipurpose Room in the Visitor Center of the
Upper Mississippi River National Wildlife and Fish Refuge, La Crosse District
2015
Please read the following prior to completing the application for using the Multipurpose Room in the
visitor center of the Upper Mississippi River National Wildlife and Fish Refuge (Refuge):
Important details:
 The Multipurpose Room is available for scheduling during the following times: Please understand
that due to staff availability these hours cannot be extended.
Monday - Friday: 8:00 a.m. – 3:30 p.m.

Any damage to equipment, flooring, walls, or white board may be charged to the group
leader/responsible party.

The group leader will arrive 20 minutes early to learn about the AV controls and review room
procedures.

Tables and chairs will be set-up and taken down by Refuge staff according to the group’s
request/needs; tables and chairs cannot be moved. If additional chairs and tables are needed, please
ask staff when you arrive.

Capacity: Capacity is based on how the room is set-up; if the room is set-up classroom style with
tables and chairs, the capacity is 42 people and if the room is set-up theater style with only chairs, the
capacity is 70 people. These figures do not take into consideration extra tables that may be needed for
serving food. We encourage first-time users of the room to visit the space prior to reserving the room.

All programs and activities will allow for a short introductory statement by Refuge staff to orient the
audience to the Refuge and its purposes.

The Multipurpose Room has a projection screen, projector, DVD player, Wi-Fi, sound system, dry
erase board, and an easel. All other presentation equipment should be provided by the user. Please
bring your own laptop, paper for the easel, easel markers, and other consumable supplies as needed.

If an Apple computer is going to be used for presentations, the presenter needs to supply their own
adapter to use the AV system.

If a tablet will be used for presentations, please be sure that it accepts the hardware necessary to be
connected to the AV system or bring an adapter.

The dry erase board may only be used with the markers we provide.

Please prepare all photocopies of handouts and training materials ahead of time. A photocopier is
available only for incidental use. Please contact staff for assistance.

Items may be hung on walls only with post-it paper and on the tackable surface above the dry erase
board; no items may be hung on the walls or stuck onto the dry erase board with tacks, tape, etc.

Please confine all food and beverage consumption to the Multipurpose Room or patio, as food and
drink are prohibited in all other areas of the visitor center.

Consumable food, drinks, and supplies must be provided by the user.

Coffee: a coffee maker is available for use, but must be operated by Refuge staff. Coffee grounds may
be purchased from the bookstore at a cost of $3 per package, which yields 8-10 cups of coffee. In this
case, use of the mugs, creamer, and sugar are free. If you will bring in your own coffee, there is a $10
charge to use the machine, thermos, mugs, sugar and creamer.

Food:
o There are numerous places to eat and convenience stores near the visitor center. Ask Refuge staff
for a list of these establishments.
o Users of the room are responsible for picking up food or having food delivered; Refuge staff is
not available to pick up food.
o If food is being delivered, someone from the user group must be present to receive the food.

No tobacco use of any kind is allowed in the multipurpose room.

Smoking is allowed only in designated smoking areas which are 25 feet from the front and rear
facility entrances.

All users must completely clean up after each use. Cleaning supplies are provided. This includes:
o Bagging all garbage and recyclables
o Wiping down sinks, countertops, and any soiled tabletops
o Removing or discarding all perishable food items. Please do not leave “leftovers” on the
counters, in the refrigerator, or in the cupboards.
o Dust mop the floor and pick up dirt and debris
* The location of these items will be discussed at orientation

We will review your request and send a confirmation in a timely manner. Reservations are made on a
first-come, first-served basis. Please submit your request no less than two (2) weeks prior to your
requested meeting date. We encourage all potential users of the Multipurpose Room to arrange a visit
ahead of time to become familiar with the facility and to help plan your activities.
NOTES:
 Only one group may use the Multipurpose Room per day unless special permission of the
La Crosse District Manager is granted.
 Each group may use the Multipurpose Room only once every three months unless special permission
of the La Crosse District Manager is granted.
