Scholarship Award Program Policy

The purpose of this policy is to provide basic guidance and continuity to be followed in the management of the

ARCUPA-HR Scholarship Award Program that was established in the fall of 2006.

1.

The Scholarship Award policy shall be maintained by the ARCUPA-HR secretary/treasurer.

2.

Input and/or changes to the Scholarship Award policy must be approved by the ARCUPA-HR board.

3.

The Scholarship Award policy shall establish the basic qualification to serve as a member of the selection committee: a.

For the first year of the program, the ARCUPA-HR Scholarship Award Development Ad

Hoc committee will consist of the selection committee b.

The selection committee following the first year should consist of i.

ARCUPA-HR Past President as chair of the selection committee ii.

ARCUPA –HR President Elect iii.

Southwest Regional Representative iv.

Representative from a Four (4) year institution v.

Representative from a Two (2) year institution c.

In the event that the Southern Region Representative is also the current Past President or

President Elect, the current ARCUPA-HR Treasurer will be the Fifth (5 th ) member of the selection committee. d.

Representatives from the Four (4) and Two (2) year institution will be selected as followed: i.

At the Fall Conference two (2) drawings will be held with the name of all current institutions. (one for each type of institution) ii.

The Key Contact from the institution should give to the Chair of the committee the name of their institution Representative within 60 days of the Fall

Conference. iii.

If the institution elects to withdraw, the committee chair will draw from the remaining institutions for a replacement. iv.

If the Institution Representative has to resign from the committee, the Key

Contact for that institution must submit a new representative or withdraw.

4.

Evaluation Process: a.

The Chair of the committee shall receive all applications and send copies to all committee members b.

Each committee member shall review all applications and rank the applicant. See appendix for Rating Sheet. c.

If the committee member is a relative, co-worker or personal friend of an applicant, they can elect to withdraw from rating that individual. The overall score will be adjusted accordingly. d.

The committee will review all scores to determine the overall recipient(s)

5.

The recipient(s) should be notified in writing, of the decision within 30 days of the ARCUPA-HR

Spring Conference.

6.

The decision of the selection committee is final

7.

Award: a.

A total up to $1000.00 can be given in one (1) fiscal year starting in July. b.

More than one (1) applicant can be award a scholarship as long as the total amount does not excess the $1000.00. For example: if two (2) applicants were requesting only $500 and it was deemed that each was a notable selection, then it could be granted to both. c.

The treasurer will write a check to the recipient(s) by the following July 31 st .
