Minutes of the Circle of Friends Committee Meeting
Thursday 19th March, 8pm, Globe Inn
chair: Steve Walker
1. Present: Steve, Jennie, Ali, Andrew, Joanne, Ali, Debbie Parsons,
Jen Ouiles. Apologies: Adrian, Toby, Michael. No message from
Sarah or Colin. Our two new recruits, Jen and Debbie, were warmly
welcomed. They can be voted on a coopted committee members if
they wish next meeting.
2. Minutes from Last Meeting (15th January, 2015) These had been
circulated, were agreed and will be published on the website.
3. Matters Arising from Minutes:



Play equipment: a meeting had taken place with Toby, Michael and
Lee Constable who had lots of ideas. Toby will make a full report at
the next meeting, when hopefully Michael will also be present to
give the school’s view.
Constitutional review : the Charity Commission have confirmed that
we can make changes to our constitution which Joanne will draft
for the next meeting
Audit: still pending, Andrew is in touch with Deb Pridmore
4. Treasurer’s Report (Andrew): Andrew confirmed that we have a
current balance of £9266.67, although Mother’s Day income and
expenses are still to be accounted for.
5. Feedback from Recent Events:

Mothers Day (Jennie): This event was well supported and as
popular as ever. The excess of presents and wrapping paper will
save for next year. Donations from Foundation Stage were well
down on previous years but there was a generous contribution in
the staff room box. Any alcoholic gifts will in future be saved
for the BBQ Bottle Tombola. Many thanks are due to Jennie for
organising this.

Christmas Cards (Ali): A cheque has arrived from Cauliflower
Cards for £276.84. This event ran more smoothly this year as
systems and staff get used to it. Many thanks to Ali for
coordinating with school. She will do the same for next year.
6. Summer Term Events:

Music Quiz : 8th May has been confirmed with school so Toby
will be asked to confirm the food before tickets are printed in
school. Adrian is happy to organised the bar and license. Steve
will help with marking. Joanne will help on bar and kitchen.
Jennie will look into running a raffle. Tickets will go out with
publicity immediately after the Easter holiday. A maximum of
60 people as before.

Barbecue – Friday 3th July (Joanne): Music, Ice cream van,
Bouncy Castle and Connect Centre for food all confirmed. Ali
agreed to run the Teddy Tombola with Jen and Jennie will pass
tickets etc to her. Jennie will coordinate face painting and
tattoos. Deb will run the Bottle Tombola, Adrian will run the
bar. We all need to recruit volunteers to help on our stalls to
ensure we have time off too. Joanne will also coordinate a
volunteer rota and buy stock for refreshments.

Discos - There is a possibility that we run all 3 discos on one
night this year – Friday 10th July. Jennie will check with Emma
whether discos have been booked for this night and report
back. Ali will check whether it is on the Platform.
7. Glastonbury Update: We have a full team and a reserve. Colin is in
contact with those concerned. Shifts start on Tuesday 23rd June
for one week.

Link to Hope: Jennie has received a thank you letter from the
organisation and has booked for us to do it again next year. A note
will go out with the weekly planner to thank parents and the letter
will go on the noticeboard. Storage of boxes for next year will be
arranged with Michael. (Ali to ask)
Cupboard needs a good sort and tidy which Jennie and Debbie have
kindly volunteered to do – thank you!!






Safety on Bath Road and Lollipop lady was raised – could we part
fund this? This will be referred to the Parent Forum initially.
Although we are saving for Play equipment, we are also currently
funding the Singing Coach, year 6 leavers dictionaries and cinema
trip, discos and Mother’s Day and Father’s Day gifts. this will be
made clear in communications with parents.
Easyfundraising – another reminder is needed – still a poor take up
on this easy way to raise funds.
Ali has procured a £1500 Mulberry handbag as first prize for the
Christmas Raffle. Many thanks!!! Now is a good time to start asking
for Raffle prizes with local businesses as they get inundated
nearer Christmas – could we all seek out one major prize each
please….
Uniform Sale – Jennie will arrange one after Easter, which could be
combined with a Cake Sale.
Father’s Day event: Friday 19th June. Jennie will check with the
office that they are happy to collect money for this as they did for
Mother’s Day. Steve and Jen will investigate possible sources of
chocolate. (247 bars last year) Staff will be asked to get children
to design sleeves for the chocolate bars and those who pay will get
a bar of chocolate to take home with their personalised sleeve on.
9. Date of Next Meeting: Thursday 4th June 8pm Globe. Steve will
book the room. Andrew will Chair.
