Having determined that a Bank Agreement is applicable the department will need to
undertake the following activities:
ACTION
For regularised workers only: Head of department to communicate the new
arrangement to the individual(s). This includes advising them of the appeals process.
Advise that agreements will be issued within 4 weeks along with details of the appeals
process.
Download the 'Registration Agreement for the University Bank' template from the

Complete the Agreement. This will require the department to incorporate the name of
the Bank, name of any nominee in place of the Head of Department where
appropriate, identification as to whether any enhanced rates will be provided for
Public/Bank Holidays, and signatory details at the end of the Agreement. Do not seek
to amend any other aspect of the Agreement without prior agreement with your
customary HR Adviser.
Issue the Agreement, retaining a copy for departmental records. Record the date the
agreement was issued on an individual’s Engagement Record – this can be
downloaded at:

Attach a copy of the Appeals Guidance and Appeals Form [n.b. this is only applicable
for individuals becoming workers through the regularisation process]. Can be

Complete a Registration Form for Payment of Workers and send this to the Payroll
Office. The Registration Form can be downloaded from:

Ongoing administration and management of individuals on a Bank Agreement lies
with departments (this includes the maintenance of records of engagements relating
to individuals and processing of annual leave entitlements etc). See the ‘Engagement
Record’, a downloadable spreadsheet, which should be used to record this

For each separate engagement, you will need to determine the hourly rate of pay and
total number of hours required to undertake the work. Details on this can be found at:

Each time a worker undertakes an engagement for the department, they will need to
complete and submit a claim form, which can be downloaded at:

Don’t forget to make arrangements for paid annual leave with each engagement.
