Job Title: Assistant Academic Officer

College: The College of Global Studies, London Center Location: Holborn

Purpose of Role: The purpose of the role is to maintain the College of Global Studies, Arcadia University registry, assisting in academic oversight to the study aboard programmes attended by American students. . This role acts as primary liaison between the Associate Director of Academic Affairs, and students with regard to matters of academic advising, student compliance with academic policies, course registration and record keeping. This posts also collaborates with the Student Life Team in orientation planning and delivery

Duties and Responsibilities

General

Support the Associate Director of Academic Affairs, Academic Programmes Manager,

Provide administrative support to develop and maintain all academic programs.

Ensure accurate data entry into multiple IT systems and maintain academic databases.

Identify ways to streamline academic administrative processes.

Plan and prepare the academic component of orientation including presentations on individual university and Arcadia programs and registration policies. Be ready to assist in others matters relating to orientation as asked or required.

Assist the ADAA in planning and preparing for the Arcadia-taught programmes on a semester basis.

Maintain the UK academic calendar.

 Provide logistical support for faculty and guest speakers including event bookings.

 Act as contact for faculty members to ensure effective communication between faculty members and Arcadia University.

 Provide support and encouragement to students and to assess progress or potential problems and advise the ADAA of the same.

 Ensure academic record keeping is in compliance with best practices with regards to transcripts, course registration, etc.

 Advise students on academic policies and procedures and assist them with problems.

Center Based Programming

Collate student assessments and faculty assessment forms for exam boards.

Plan and coordinate academic special events with faculty, staff and students.

Collect and enter grading information for all Arcadia taught programmes.

Prepare logistical scheduling related to class time and locations

Maintain accurate records of attendance in accordance with the UKVI.

Maintain a consist collection of course feedback from students.

Keep accurate records of the registration and grade reports of Arcadia University programmes students in Britain, forward them to the US Office in a timely manner

 Prepare and execute academic workshops

Conduct a training programme for Faculty members on academic policy and procedure.

Direct Enrol Programming

Liaise with program managers to confirm student registration, to clarify academic options at individual British programs, and to assist with the transcripts process with all English and Welsh

Universities.

Liaise with the British institutions regarding student academic issues and concerns in conjunction with the ADAA on a regular basis.

Serve as a liaison between Programme managers and British contacts and pursue transcript requests, credit discrepancies and grade queries with these contacts.

Meet students at program sites at least twice per semester: one academic visit and one social and cultural visit.

Maintain current information and knowledge on British university programmes.

Other

Provide administrative support to develop new programmes and assume the administration and servicing of newly added programmes.

 Serve as an emergency out-of-hours contact for students in the regular staff rota.

 Perform such other duties, appropriate to the level of appointment as assigned from time to time by the ADAA.
