PAYROLL ORIENTATION INFORMATION FOR NEW STUDENT EMPLOYEES

Welcome to the Student Payroll

1.

Qualifications for Student Employment

A. During the academic year , you must be enrolled for credit towards a degree and the work activity must be incidental to your presence at the University as a UWP student or a student at another educational institution. If you withdraw from school, you are no longer eligible for employment and must notify your supervisor immediately.

B. If you are under 18 years of age, you must obtain and submit a work permit to the Payroll Office before beginning work. Your supervisor will be able to give you further information.

C. Effective February 1, 2003, the State requires that newly hired males between the ages of 18 and 25 must be registered with the Selective Service before being hired by the State. The statement of Selective Service

Compliance form must be completed for male student hourly employees who are 18 and not yet 26. Go to www.sss.gov

for more information about Selective Service and on-line registration.

D. Foreign students holding Visas may work on campus with permission from the Immigration Department. All students with a F1 Visa must contact the International Programming Coordinator, Consuelo Clemens x3215.

Students holding Visas are limited to working 20 hours per week (no exceptions) during the academic school year.

During breaks, students are allowed to work more hours, but should not work over 40 hours per week due to budget constraints. An International Tax Packet MUST be completed for all Non-USA citizens who receive compensation to determine residency status for tax purposes. This packet will be forwarded to you from the Student Payroll Office.

E. Criminal Background Checks may be required for certain positions or departments. You will be notified prior to hire if the position you are applying for has this requirement either by email or US Mail.

Payroll Requirements

A. A W-4 form must be completed. Your legal name , as it appears on your social security card, must be used on all payroll documents. Questions about completion of the W -4 should be directed to Payroll.

B. A Change of Address should be submitted to the Payroll Office if you have an address change to ensure receipt of your W-2 Earnings Statement for income tax purposes. An address change to Student Records does not change your Payroll records.

C. Payroll Processing: Student Employees must use the My Time timekeeping system: Your timecards must be completed accurately and according to the Student Kronos/Timesheet Schedule. This schedule can be found on the

HR Website under Student Employment. Falsification of a time card can be cause for dismissal. All instructions on using the My Time timekeeping system are available from the My Time Training for Employees manual, available in your employing department. Instructions are also available using the Kronos “My Training” link. Your paycheck will not be processed until your timecard is approved by your supervisor or department representative.

Concurrent Employment

- Students working for more than one supervisor are responsible for notifying each of their supervisors of concurrent employment. This is necessary to avoid an overlap of hours, scheduling problems, and overtime costs. It is recommended that students work no more than 20 hours per week to adequately meet their classroom requirements.

Check Distribution

- Payments are issued according to the Student Kronos/Timesheet schedule. Direct Deposit to your bank, credit union, or Ranger One Card is mandatory for all student employees. A Direct Deposit Authorization form is available from your department, HR Website, or the Payroll Office. A new Direct Deposit form MUST BE completed for any change in accounts before closing a current account for payroll deposit. Your earning statement will be sent directly to your student email account before the actual pay date. Check this earning statement for the actual date deposited into your account which will be the pay date. If you have problems accessing your email account, contact the Computer Help Desk at extension 2444.

Communication of Additional Student Employment Information

- Additional student employment information will be communicated to you via email, the employing department, the Cashier’s Office and/or the Career Center.

Employment Disputes or Questions

- General inquiries relating to student payroll should be directed to Diane

Tourangeau, Student Payroll Coordinator, by either the supervisor or the student. Student employee grievances or employment disputes should be directed to the Dean of Students x2598. Questions relating to Student Work Study awards should be directed to the Financial Aid Office x2574.

7.

Drug Policy

- Your employment department will be providing you with the Drug Free Work Place Policy. If yo u don’t receive this within 5 days of your employment, contact your supervisor.
