Perform Monthly Checklist
Check for Broken Links
Check for out-of-date information
Check for misleading or redundant information
Look for new information to add to site
Request changes to site by webmaster, Carbon Copy Mike Scott
Follow-up on changes, i.e. check changes to confirm that they have been made
and are correct
3. Webmaster Responsibilities





Sends reminders to check site on 1st Monday of each month
Makes updates within 3 days of receipt
Notifies those who have sent changes that updates have been made
Technical Maintenance of the Site – updates sitemap, updates graphics site,
updates, text only site
Weekly Site Back-ups

6. Submitting Updates
This is the procedure for when an update needs to be made:
1. Send an e-mail to Michelle Simmons ( asimmon@iupui.edu )and carbon copy
Mike Scott ( mscott@iupui.edu )

2. Include in the E-mail the following:
a. A detailed descriptions of changes to be made
b. The address of the page to be up dated (e.g. http://liberalarts.iupui.edu)
c. A deadline date for changes
d. Any files that need to be uploaded to the site in an accessible format
3. Follow-up on changes by checking pages to make sure changes have been made
and are correct
7. What to do if changes are not made by Deadline
1. Contact Michelle Simmons first and carbon copy Mike Scott
2. If changes still are not made, contact Mike Scott directly
8. Naming files for the web
Often we receive files from people to put on the web and they are named in a way that
makes them difficult or impossible to work with. All files that are sent to us should be
named in the following manner:
1. File names should not be overly long (an incorrect file name:
iuschoolofliberalartsmarch32002facultyassemblyminutesandacceptedamendments
.doc; a correct file name: minutes03032002.doc)
2. No capitalization (Incorrect: IMPchecklist.pdf; Correct: impchecklist.pdf)
3. No punctuation (Incorrect: advances.summer.2002.pdf; Correct:
advancessummer2002.pdf)
4. No Spaces (Incorrect: graduation 2002 photo.jpg; Correct:
graduation2002photo.jpg)
5. Include file extension, this is the three letter code saved at the end of a file, such
as, “.doc” for a Microsoft Word File, “.pdf” for an Adobe Acrobat File, and “.gif”
for a GIF image format. (Incorrect: students; Correct: students.jpg
