Job Family and Level: Administrative, Professional & Managerial Level 4 Contract Status: Permanent Hours of Work: 36.25 per week Location: Portland Building, University Park, The University of Nottingham Reporting to: Head of Alumni Relations Purpose of the New Role: To develop, deliver and manage a full range of services and activities that are designed to nurture lifelong relationships with the University’s alumni. The role holder will be responsible for creating and delivering a plan of activity which engages graduates of the last two decades, encouraging increased levels of contribution – both financial donation and volunteering. This self-supporting role requires a clear understanding of the alumni relations (AR) function, its relationship with fundraising and superb communication, event management and customer relations skills. The role holder will support delivery of our Alumni Relations strategy and continuous improvement of alumni relations activity in line with the Supporter Engagement strategy. This role carries Line Management responsibilities for two members of the team Main Responsibilities 1. Alumni Engagement Working closely with alumni relations colleagues, provide recommendations to the annual activity plan, gain agreement from the team and deliver key initiatives, events and affinity based activity designed to engage alumni with the University. Responsible for delivering key alumni activity at Varsity, and the Sports Challenge Weekend, as well as professional networking and careers focused events. Ensure that alumni have an active programme to encourage engagement. Lead on, plan and deliver an annual digital engagement project, connected to the Impact campaign designed to reach all alumni and promote further engagement. Liaise with CARO colleagues in Communications to support this activity. % time per year 30% 2. Oversee the transition of graduating students into the alumni community at Graduation in Summer and Winter and our communication with new graduates. Work closely with the graduation and the Careers and Employability Service on joint initiatives for recent graduates (such as the Class of project) and ensure co-ordinated communications take place. Continued Professional Development Liaise with colleagues in the Careers and Employability Service to help plan and deliver a range of employability and professional development activity for alumni including careers workshops and networking events. 3. 4. 5. 6. Create further opportunities for continued professional development including the accessibility to Open Online Courses Supporting Schools and Departments (for AR activity) Develop and lead on activity to support the delivery of departmental specific alumni relations activity. Advise Schools and Faculties Departments on ‘Best Practice’ ways of working with alumni, support and facilitate contact with alumni and encourage the growth of subject specific affinity activity. Liaise with CARO colleagues in Information Management, Communications and Volunteering as appropriate to support this activity. Work with the Head of Alumni Relations to develop and maintain guidelines and processes to outline AR support for Schools and Departments. Work closely with University departments including the Students’ Union, Department of Sport and the Careers and Employability service to enable alumni engagement. Maintain regular communication with colleagues in these teams and seek opportunities for alumni engagement in these areas. Support them in delivering co-ordinated alumni engagement activity. Leadership Lead and manage day-to-day activity of the Alumni Relations Officer and Alumni Relations Assistant to ensure delivery against individual, team and office goals. 20% 20% 15% Provide appropriate personal development and coaching to establish and maintain a high-performing team. Contributing to wider CARO objectives Promote and support opportunities for alumni to volunteer their time. Help to promote the University’s fundraising agenda with the alumni community and support frontline fundraising colleagues to deliver against their objectives. Update and maintain the Raisers Edge database ensuring compliance with data protection legislation, liaising with the Information Management team as necessary. Knowledge, Skills, Qualifications & Experience Qualifications/ Education Knowledge/Skills /Training Essential Degree or equivalent qualification. Desirable Professional qualification in one of these areas: fundraising, marketing, communications, public relations or events management. Evidence of strong interpersonal skills and an ability to engage with and influence contacts at all levels, both internally and externally. Knowledge and experience of Raiser’s Edge. Experience of working in a customerfocussed role. Evidence of a diplomatic approach and ability to network with people from all backgrounds, ages and nationalities. Evidence of a ‘Can do’ attitude, outgoing and friendly personality, plus a pragmatic approach to problem solving. Proven ability to prioritise workloads, utilise good organisational and time management skills to deliver on multiple activities simultaneously. Evidence of a positive, enthusiastic and creative approach, with the drive and tenacity to deliver new initiatives and improve existing programmes with minimum supervision. Proven ability to work in teams. Proficient IT user – in particular large databases, Microsoft Office and email. Proven evidence of strategic thinking Proven excellent written and verbal communication skills with a high attention to detail. Previous line management experience. Experience Proven track record of planning, managing and delivering high profile events. Experience of working with or managing volunteers. Evidence of willingness to work outside normal office hours and to undertake occasional travel away from home. Experience of working in an alumni relations role. Statutory/Legal Knowledge or experience of handling sensitive data and an understanding of Data Protection legislation. Decision Making i) taken independently by the role holder Day to day activities and prioritisation of work Updating the Raiser’s Edge database to maintain accurate alumni records, ensuring compliance with the Data Protection Act Responding to requests for information from alumni and from members of the Campaign and Alumni Relations Office. Management of volunteers Draft correspondence, e-mails, answer telephone enquiries and deal with alumni directly. Use judgement to determine when a decision requires line management approval. ii) taken in collaboration with others Discussion and agreement on workflows, operational priorities and the completion of specific tasks with team members and/or managers. Changes to ways in working and/or procedures. Any projects which would have a significant impact on another team Drafting ‘Best Practice’/guidance notes relating to development of own programme area. Additional Information The Alumni Relations Team is part of the Supporter Engagement team within the Campaign and Alumni Relations Office. The Alumni Relations Team consists of the Head of Alumni Relations and their four direct reports, the Alumni Relations Managers, along with the Alumni Relations Officer and Assistant. The team also has representation in the Business school and at the Malaysia and Ningbo campuses. The team is pivotal in creating relationships and building foundations for the remainder of CARO to build upon to support the Impact campaign.
