Introduction
Reduced Tuition Waivers Overview
CWU offers reduced tuition for CWU employees, Washington State employees,
Washington State National Guard participants and Senior Citizens. A small
administrative fee is charged for this benefit. Prior to PeopleSoft, no tuition charges
were posted to the student’s account, just the administrative fee. CWU will now post
the full charge to the account and use equation variables to post a Tuition waiver and
administrative charge for the correct amount of the reduced tuition.
Equation Variables are user-defined variables that can be used to classify students
when no standard system values are available. For example, you might need to
calculate a fee for students involved in summer internship programs. You could define
one or more variables that are used to identify the students and calculate the
appropriate fee.
There are three types of equation variables that can be defined and attached to a
student: character variables that are simply a character string, numeric variables that
are numbers such as grades, and Y/N flags. These variables can be used for both
equations and in criteria definitions. Student Financials is only using the Char Variables
at this time.
CWU will use Equation Variables to post credits to accounts for those students eligible
for reduced tuition waivers including Staff, Washington State Employees, National
Guard and Senior Citizen Waivers.

Prerequisites and Assumptions
Before you can successfully perform the Equation Variable process, it is
assumed that each of the following conditions has been met:

The Equation Variable has been created

The Equation Variable has been linked to the appropriate tuition calculation process


1.0 Using Equation Variables
Equation Variables will be used to identify students that qualify for the reduced
tuition waivers (CWU Staff, State Employees, National Guard and Senior Citizens).
Equation variables are term and student specific.
Following are the procedures to assign this variable to a specific student.
1.1 Assign the Equation Variables
Navigation: Home > Manage Student Financials > Calculate Tuition and Fees > Use > Equation Variables
Enter the Empl ID number of
the student receiving the
waiver. If the ID is not known,
use the Lookup ID magnifying
glass and name search.

When using the magnifying glass, the search will display all students matching the criteria
entered however Equation Variables can only be added to students assigned to a program/plan.
Selecting an Empl ID that is not in a program plan will return the message “no matching values
were found.” This is because the process is trying to “Find an Existing Value” and values will
only exist if the student is in a program/plan. Using the

C: CWU Employee Waiver

the Var Char 1 space and
save the page. Other values
may be entered but will have
no effect on the tuition
calculation process.

Adding, changing or deleting a
Variable Character will set the
Tuition Calc flag to “required”
and tuition will need to be
recalculated in order for the
waiver to become effective.
This can be done by inquiring
on the student’s account (if
autocalc is active for the term
being
calculated)
or
by
navigating to the Tuition
Calculation
page
and
calculating the appropriate
term.
