AGC Presentation, December 9, 2014
Benefits
 Cost savings – reducing paper/mail
efforts (but not eliminating completely)
 Timely delivery of important
information
 Assurance of delivery and confidentiality
(and greater compliance with FERPA)
Policy Draft
 Draft now in college policy format
 Removed “the college will not
recognize nor respond to emails from
current students’ personal email…”
 Otherwise, language not altered from
first presentation to AGC (11/11/14)
Responses to Feedback
From 11/11/14 AGC
1. Will this apply to
graduates?
2. Policy Vs. Procedure
3. College refers to
GRCC Email only
4. Can we get receipt of
email via Gmail?
Responses
1.

4.
No – only current students
If staff or faculty choose not to
enforce, it could undermine policy.
This policy is consistent with
Common Syllabus language
IT has confirmed that PeopleSoft
can restrict emails sent to GRCC
issued only address (checking on
Bb settings)
IT has confirmed that it can obtain
a receipt for emails sent to GRCC
accounts (but the sender cannot)
Next Steps
 Present policy to Cabinet for consideration
 Develop a student communication plan.
 Returning students to be aware of this change
 New students – orientation, application confirmation, admissions
packet, etc.
 Develop communication and training for faculty on how to respond to
an email request from a current student not sent from a GRCC issued
email account, example language for their syllabi, etc.
 Develop communication and training for front line staff on how to
respond to an email request from a current student not sent from a
GRCC issued email account, how to look up a student and send to
college issued address, etc.
