1. Apologies and Absences
Apologies were received from: Irene Earl, Lea McGee, Roy Stewart
2. Minutes of previous meeting (3 Dec 2015)
Medication reviews: An internal review of the process is on-going.
Handling of Test Results: AS indicated that communication of Test results
had been reviewed with a view to clarify test results to patients, some of
which had caused unnecessary anxiety. A new resource has been recruited
to manage the revised process. All test results will be reviewed and patients
will be contacted if there is any follow-up action required. This began in Jan
16. The full process is that patients should be sent a text to say that no
further action is required or, alternatively, asked to contact the surgery. If
there has been no text/contact after 2 weeks, patients should contact the
surgery.

Meet & Greet Exercise;

that from this point there would be a monthly M&G exercise in order to
ensure that sufficient current feedback is obtained from patients. ST will set
up a corresponding rota

Appointment System:
For latest update see CWMC PPG Action Items (updated 2 Mar 16). Major
action at present is to obtain funding for an improved telephone system. JW
expressed an interest in being involved in the selection process.
Friends & Family Test:
For latest update see CWMC PPG Action Items (updated 2 Mar 16). ST
presented a brief analysis of the data from the February returns. In short
this showed that 74% of patients were happy with the practice, especially
with the GPs and staff in general. However further improvements were
required on: the Appointment system, Reception handling, Car Parking and
Continuity of Care.

On-going progress on registration will be reported at each PPG meeting.

Car Parking:
The new arrangements came into force on 2 Nov. There is still some
negative feedback on this topic but the volume of complaints has reduced
over time, especially with a better communication on the reasons for its
implementation. PPG members asked AS to look again at the approach to
the outgoing barrier as the current arrangement was extremely tight. AS
also requested (and received) PPG support for using the first batch of extra
revenue from the CP scheme for the funding of 2 new defibrillators to
replace the current obsolete ones. A notice will be put up on the
noticeboards to this effect.

DNAs:
The original figures have been overstated due the read code(s) being used
on the EMIS. Pete Williams has undertaken further investigation and
reported that the February figures showed 279 DNAs (3.5%), which is
roughly in line with the figures for other surgeries. Further detailed analysis
will be undertaken.

Blood pressure machines
AL commented that there were concerns that the 2 blood pressure
machines in the Health Yourself area were giving significantly different
readings. AS agreed to arrange for a check on their calibration and for
advisory notices to be put up on how to use the equipment and what to
expect.

Weekend emergency cover
BE related her experience about trying to obtain emergency cover over the
weekend. At the end of the discussion it was agreed that Reception staff
would be reminded of the process for using the Extended Hours service and
the Walk-in clinic for such an emergency. This information will also be
included on the CWMC website.
CCG PPG meeting (1 Mar 16)
ST attends bi-monthly or quarterly sessions run by the West Cheshire
Clinical Commissioning Group (CCG). At the latest meeting about 20
practices were represented. The main points from the latest session were:
 CCG personnel seem well meaning but are often weak on
communications and how to engage with and maximise their
interaction with the surgery PPGs
 CCG is under financial pressures (and will probably set a deficit
budget for the next financial year) as the scope of its services are



being expanded and changed without a corresponding increase in
funding.
CCG is promoting several interesting initiatives as part of the “West
Cheshire Way” such as:
o Starting Well
o Being Well
o Ageing Well
o Wellbeing coordinators
o Direct Access Physio
o Pharmacy First
o Vulnerable Older People Services
CCG seems to work with Clusters rather than individual Surgeries
CCG promised some electronic information on the above (though in
the past it has not been too diligent in this respect – e.g. there were
no minutes from the last meeting)
