Important things to tell
Rick Maxwell invited everyone to attend the concert Saturday night, September 17 featuring music
faculty member, Matson Topper and his wife.
Rosalind Lang-Overall, math lab coordinator, invited everyone to come to the math and science academy
on September 16 and 17 from 8-noon in X2005, X2006, and X2007.
Rodger Bennett accompanied Rick Maxwell to see Rick’s work that will be displayed in the new Omni
(Conference Center) Hotel. Installation should happen around the middle of October.
Marilyn Lynch reported on a business advisory meeting she attended at Thomas Jefferson High School,
consisting of hospitality & tourism, finance, IT academies trying to implement project-based learning.
TJ is currently undergoing renovations; students and staff will pick up with beautification and building a
community image when the renovation process ends. Marilyn asked for ways we can work with this
high school that is part of our southern sector initiative. TJ will provide a list of needs to Brookhaven at
some point in time.
HR Issues
Argie Landa and Jan Sickles were invited to this meeting to address some HR issues.






Before sending any new hire to HR a CBC (criminal background check) must be completed. It
takes approximately two weeks to receive notification. CBC forms must be brought to HR in a
sealed envelope, hand delivered by potential employee. Divisions will be notified when
clearance is received.
Divisions should fill out the employment authorization form with start date, salary and position.
A checklist is attached to the employment packet.
Division assistant may accompany the candidate to HR but it is not necessary
If a person (usually adjunct faculty) drop out for a semester they must go through the new hire
process again.
Adjuncts are dropped after 120 days – part-time PSS get terminated from the system after 60
days.
Reminder: The above pertains only to part-time people.

If a person starts a position before all paperwork has been filed a letter stating “Out of
Compliance” must be submitted before any paperwork will be accepted.
Another issue: Divisions should not send people to the HR office asking if they are qualified for a
particular position. The supervisor should come to HR with any questions regarding qualifying or
qualifications for a particular position.
Working Retirees – A calendar is sent out to the divisions each month showing how many hours a
working retiree can work. Argie sends an e-mail to all working retirees each month asking for hours
worked. As of September 1, 2011 if a person works more than the allowed hours, he/she will be assessed
a surcharge. There are many financial implications in regard to this issue. It was suggested that a
workshop be scheduled for office assistants. Part time people are allowed to work 1014 hours a year. If a
part-time employee works full time they are only allowed to work four months out of the fiscal year.
Position Request
Rick Maxwell presented his request for an IA position in Cultural Studies/Music (a replacement for
Charlie Warnberg). He said he reduced the two positions to one position (Charlie’s position) and has
money in his budget. After discussion the position was recommended for approval and paperwork sent
on for processing.
Single reporting summer session
This is mainly a reporting issue. Advantageous for students on financial aid. Maymester cannot extend
into summer sessions. District will be coming up with the policy on the extra service hours.
In regard to classes that extend over semesters, looking into working on the browsable schedule to notify
students taking those classes that their financial aid may be affected.
Training for SPOL
Michael Dennehy would like deans to work with their workgroups and discuss what kind of SPOL
training they would like. Training could be individualized. Michael’s team would work on this initiative.
Missing Planning Information
In the PCAB, a report on an audit has shown there is significant completion of the 2010-2011 plans in
SPOL for the SACS compliance report; however, not all the information are in all the plans (all the way
through “use of results’). A deadline was set in the PCAB of Sept. 29 to have all the 2010-2011 plans
completed (through “use of results”) and the 2011-2012 plans completed through at least “intended use of
results.” SACS compliance committee will review all the actual results and how they were utilized.
Michael Dennehy said in the PCAB meeting if there are any questions, please contact him
Perkins Funds
Marilyn Lynch asked the group to be sure and get their requisitions for Perkins funding requests in by
October 1. All is needed is just the paper requisition with description (attachment outlining exact what
the item is). Jin Kim and Manny Estrella will handle from then one.
