ADDENDUM #1
1. Can we respond with a ‘cost plus’ (percentage above cost) in place of percentage off in that section?
No. The NCEPC uses the percentage off of MSRP for this section.
2. To have items added to the product list, one of the member districts would have to recommend one or more of our
products by sending you an email correct?
All items listed on this bid have been requested by either a member district or an associate member district to the
bid administrator. Adding additional items to this list would be done the same way.
3. While we have no specific products on this year’s bid, we did make the percentage off bid list. Does this mean
that it’s possible to be on the Percent off bid list, but not on the product list?
Correct. While items may not be specified, the need may arise for products by a particular identified manufacturer
so they have been included in the percentage off portion of the bid.
4. Material Safety Data Sheets: The instructions in the RFP request vendors to attach MSDS to certain items in the
specifications document, however, after reviewing this document thoroughly, no line items (end of statement as
sent to me.)
This is a standard clause that only applies if there is an item this would apply to.
5. Manufacturer’s Specifications: In the specifications (pricing) document, there were no mention of actual items that
needed attached spec sheets. Are vendors to include spec sheets on all products listed?
Spec sheets should be provided if a different make and/model is being proposed from what is requested to assist
in the determination of an equivalent.
6. I understand there is a 3% DVBE requirement and there are very thorough instructions on how to work with
another DVBE to meet that requirement. We would like to propose our exclusive brand for many of the items on
the contract, and we are not DVBE. Typically we can work with a DVBE installer, however there would not be any
services being performed, the items we are proposing would be shipping via small package. With that, would you
be able to tell me how we could proceed with this bid.
The NECPC requires DVBE for this bid based upon the potential funding sources. In cases where a vendor is not
DVBE, it is requested that the vendor provide proof of the good faith effort. This is all described in the bid
documents.
7. If we are offering another brand from what is listed are we able to add them to the percentage off bid sheet?
All items and manufactures have been requested by the Districts, so the request would have to come from an
NCEPC Member or Associate Member. However, in the case of alternates being submitted for product specific
items, it will be evaluated to see if it meets or exceeds the specifications. This determination is at the sole
discretion of the NCEPC.

8. Is there no references requirement for this bid?
No.
9. Because there are no services mentioned in the RFP, would it be possible for vendors to request a waiver from
the DVBE requirement?
No, based on potential funding of purchases the NCEPC requires that all vendors either be DVBE vendor or
provide proof of their good faith effort as described in the bid document.
10. I was looking over this bid regarding the Smartboards. There is no installation required for these 5 boards, is that
correct?
That is correct.
11. We would like to get a complete recap on items, could you provide?
The recap from Bid #09-14 has been provided in the attachment.
12. Can you please confirm that on the pricing sheets you want only a unit price and not an extended price utilizing
the estimated usage?
That is correct. The unit price for each item is all that is required.
13. Please see the Addendum 1 Bid Specification Sheets for the following corrections.






