WEB ADVISORY SUBCOMMITTEE MINUTES
Ocean Avenue Campus, Room August 26, 2008

The meeting convened at 12:00 PM.
Agenda:
1. Update on Summer Activities:
Beth Cataldo and Doug Re worked on the following activities during the summer:
• Finalized contract details with Day Communique and Earthbound Media Group
(EMG) for Phase 4 implementation of the project.
• Finalized schedule with Day and EMG for the design and implementation phase
• Joe Jah installed Google Analytics
• Researched Google Search for the current web site, which should be implement by
November.
• Researched implementation of Gmail, which should be ready for a test group of
users by November.
• Gathered information to order the servers for the new web site.
• Decided on Hosting solution for the new web site: EMG will host the servers during
the development phase of the new web site for about eight months. This solution will
help us avoid adding more work to our existing ITS staff for the time we are in
development.
• Evaluated and approved the Usability Test Plan for the new design of the web site.
Usability Tests will be conducted on the CCSF campus the week of 9/15.
• Helped promote the two job positions related to the web site that are now moving
through the approval/hiring process. A new Publicity Information Officer, who would
help manage the web site, is being proposed for Martha Lucey's office. A new
Programmer is being proposed for ITS to help support the new Content Management
System and serve as a backup webmaster.
2. Review Schedule for 2008/2009:
Cataldo handed out a schedule for the final development and implementation phase,
which will take us through to April 2009. Ashley from EMG will contact individuals
responsible for their sections starting the week of 9/5. EMG will then create a
requirements document that EMG will use to build out the prototypes and templates.
CCSF will also give Ashley feedback about user permissions for each template for
the new CMS. Prototypes for the individual sections should be approved by 10/28.
EMG will then begin building the templates for the individual sections of the web
site.
The CMS will go in alpha phase starting in January, 2009, with the templates
implemented for each section. During the course of January-April, the CMS will be
configured and tested. Content will be ported over to the new system. The final web
site should be up and operational by April 15.
3. Google Analytics:
ITS Director Doug Re provided an overview of the Google Analytics data to date.
GA was implemented on August 1.
Some of the statistics are:
Average number of visits per day: 20,598
Page Views: 126,058
Average Page Views per visit: 6.37
Time on Site: 5:12

4. Responding Intelligently to Incorrect URLs:
Tom Boegel suggested that he could write a program that would have the CCSF web
site offer intelligent suggestions to those who have typed in an incorrect URL.
Instead of offering up a "404-Page Not Found" page, the program would send the
URL to the search engine, which would respond with a web page with suggested
alternative URLs that are close to the one the user typed into the Address Bar. Tom is
going to provide the program to Joe Jah to implement on the web site.
Open Discussion:
There was some discussion about a current problem with a handful of individuals not
being able to access the web site. ITS is investigating the cause of the problem. Also,
the question arose on why we can't have the ccsf.edu url redirect to www.ccsf.edu.
Nowadays, people are used to accessing web sites without having to type in www
before the rest of the URL. However, this does not work on the CCSF web site. ITS is
going to investigate this further and get back to the Web Advisory Subcommittee.
