Review September 14, 2012 Minutes and November Newsletter

Corrections:

1.

Top of page 3, #6 - add ‘DRP’ between ‘eleven exams’ to second sentence.

2.

First Year Experience, #4, page 3 – change last sentence to ‘She may work full-time in FYE starting January 2013.’

3.

Add ‘November’ to calendar on page 3 of the newsletter.

4.

Financial Aid newsletter information, page 2 - delete disbursement information.

5.

The minutes and newsletter were approved as corrected.

Open Forum

1.

The Information Desk will print and post information about the Datatel shutdown the week of 11/26-30 directly off the Portal. A. Beverly (ASO Commissioner of Academic Affairs) asked why system was going down. Servers will be relocated to the Bookstore building due to pending MCS building remodel for Industry & Technology. ITS staff will relocate temporarily to the Communications building basement. System should be back up by after testing for problems. Employees and students will not be able to access student records. No registration appointments or access to registration shopping carts or transcripts during shutdown. Having no access to transcripts will affect help given to students applying to universities at the last minute during the Transfer Center’s Panic Room . Hopefully, Public

Information will send email blasts to warn students about the shutdown.

2.

Expect 150-200 attendees to the November 15 th CASFAA workshop for California high school counselors. This free workshop will cover updates to financial aid. Student ambassadors will direct attendees from parking lots H, L, and F.

3.

Exceptions to student grievances include disciplinary actions, grades, parking tickets and sexual harassment/discrimination. Students should first try to resolve informal complaints/grievances in department in which issue occurred. M. Arthur offered to present grievance information to ASO. Comment was made that the current grievance process is complicated and contradictory and should be revised.

4.

Financial Aid office front counter remodel completed, but requesting privacy acoustic panels

(69”H x18” W) on the student side of the counter. 519 form and new schematics will be submitted. 519 form will include request for new carpets. All seven stations are now access compliant.

5.

Film screening about first generation students did not take place on October 25 th

because the paperwork was not received on time. FYE may not pursue screening the film at this time.

Suggestion was made for ASO/ICC to partner with FYE to plan this event.

6.

Accelerated in Context (AIC) conference scheduled at ECC on November 16 th

. Participants will be parking in Lot C. Concern voiced about conference attendees parking in staff lots.

Staff needs to be notified in advance that staff parking will be impacted.

7.

B. von Stein and ASO/ICC presidents gave a presentation to a charter school in Lennox about El Camino College student leadership. May focus on student leadership for future

ASO/ICC visits to area high schools.

8.

Volunteer tutors in English, math, and science will be available the week of finals during

Finals Madness in the East Lounge between 9:00pm-12:00am (after library closes).

9.

Homecoming Carnival was successful –it may become an annual event. Planning an

International Fair in the spring, with cultural fashion show, performances and food.

Suggestion was made to create a Veteran’s event. Veteran’s Club is not very active this year.

10.

Testing at the high schools was discussed in Enrollment Management and Outreach operational meetings. Some high schools want to test on their campus, some at El Camino.

Outreach and Assessment are two departments without the resources and staff required to achieve mandates of the Student Success Act. Don’t anticipate more funding for staff, but reallocation of resources. Reclassification process would include Human Resources and ECCE.

Assessment/Testing continually receives time-consuming calls from part-time counselors and advisors who ask testing and placement questions. Suggestion was made to provide part-time counselors training/workshop on where to find assessment scores, how to read placement charts, classes to place students, etc.

11.

New Assistant Director of Financial Aid, Director of Admissions & Records at the Compton

Center, and Dean of Enrollment Services should be in place by January 1, 2013. No update on the status to hire a Financial Aid Assistant.

12.

Discussed the Division Council meeting format: focus on issues or change to reporting-out meetings. Having a difficult time getting updates for the newsletter and area council from members. Department news is due the first of each month. Suggestion was made for committee members to supply topics of discussion for the meeting agenda. Members would like to keep meeting discussions on issues and will be more diligent in submitting their department news on time.

The meeting adjourned at 12:25 p.m. The next meeting is scheduled on December 14, 2012.
