Transportation GPS Pre-bid Meeting Notes







Bid opening Monday, February 9th at 3:30 p.m.
Bid award anticipated at March 19th board meeting.
Purchase order would be issued after that meeting within 30 days.
All work must be completed by August 21st, 2015.
Both bid and performance bond are required for this project.
Will any Yes/No responses be weighted? We will not have a scoring rubric to score responses
but if you are responding and need more explanation than yes/no please detail your response.

Compatibility to current routing software Transfinder is an important criteria.
Who will retain the data? We are looking for the company to retain the data.
We would prefer posted speeds be provided with the data.
Data update frequency should be indicated in the bid.
An active system with live data should be proposed.
The appropriate information should be collected to be loaded into state required subsidy form.
We would prefert to view real time data of vehicle location on a map.
An active ping should be sent to the unit even when it is turned off.
Pricing for this project should be submitted with costs for labor and equipment separated.
Separate optional submissions can be included.
Can antennas be put on the outside of the bus? Yes
Do all of the buses have electronic switches on the door? Not all. We have several vehicles in
our fleet that have air doors. All buses do have stop arms and eight way lighting system.
Roadside assistance – looking for service in a tow or out of fuel situation
Driver logs and Reports – As an addition to software being purchase. To include Pre and Post
Trip logs, Custom reports capturing data used to complete PDE Transportation Subsidy Form
1049, Custom reports for capturing actual load counts.
Pricing should include swap out charge from old vehicles to new ones as required.
Should include number of students on the bus data (load count). We are more concerned the
total of loaded and unloaded miles.
Ability to see get street view data for a bus is preferred.
Some level of equipment detail required on bid proposal and invoicing. The detail should be
reflective of the items installed as part of the project.
The District is looking for information to be stored offsite with 24/7 access. This can be stored
on an offsite server or in the cloud but will not be located on-site.
