GENERAL PURPOSE:
This policy is intended to provide a process and procedure that will insure the timely
distribution of report cards to all students.
POLICY:
It is the policy of MJI that final class lists and reporting forms for recording course
grades and marks are distributed to all faculty members shortly before the conclusion of
the semester. Faculty members must ascertain that the names of all students enrolled
in class appear on the final recording form. If for some reason a student’s name does
not appear on the recording form, it is the faculty member’s responsibility to add the
student’s name and student ID number along with the course grade.
Final grades are to be submitted by faculty to the Office of Academic Administration or
the Registrar no later than two weeks after the completion of the scheduled final
examination unless an alternative schedule is developed by the Office of Academic
Administration. Thereafter, report cards will be made available to students via online,
U.S. mail and/or email attachment using their MJI provided email address.
All MJI employees including faculty and teaching assistants will be oriented on this
policy and procedure and will make it part of their records management activities.
PROCESS:
1. See MJI Policy and Procedure1675 Grading Policy (currently only described in
the MJI Academic Catalog and Student Handbook), 1680 Grades Submission
and 1682 Grade Changes for related topics.
2. Final grades are to be entered on students’ grade records as the Office of
Academic Administration or the Registrar receives them.

3. No later than four weeks after the completion of the scheduled final examinations
the Office of Academic Administration should disseminate all report cards to MJI
students (unless there are unforeseen delays in obtaining this information).
Report cards may be available securely online; mailed to students via U.S. mail
and/or emailed to them as digital attachments to students’ MJI provided email
addresses. Courses for which no grade has been received from the Instructor will
be signified with the “no grade” mark of NG.
4. Academic Administration personnel will make all reasonable efforts to obtain
grades from faculty members in a timely manner, thereby reducing the number of
NG course marks.
5. As indicated in Policy and Procedure1680 Grades Submission, the timely
submission of grades (along with other measures) is a component of the Faculty
Performance Evaluation. Moreover, final payment of semester salaries is
withheld until all semester duties are completed, including submission of grades.
Faculty members who are routinely delinquent with the timely submission of
grades may be subject to additional sanctions by the institute.
