New feature in PeopleSoft Financials
Please note the change to the Employee/Student request form found on Procurement Service’s website.
This form will now be used to request students who are not active on BC payroll.
The process to request an employee or student active on BC payroll to be added to the PeopleSoft
Financials expense drop down has been automated and is now offered in PeopleSoft Financials. Log into
PeopleSoft Financials and follow the instructions below.
1. Navigation: Employee Self Service>>Travel and Expense>>Add Employee to Authorizations
2. Enter the last name of owner of the drop down list (the person entering the reimbursement)
and click
3. Select the name
4. The userid will populate. Enter the phone extension of the person entering the reimbursement.
5. Enter the name of the employee who will be reimbursed and needs to be added to the drop
down list, click
6. Select the name
**Employee/Student status must be Active or Work Break in order to add them to the Expense Drop
Down. Students who are not active on BC payroll will not display. To reimburse those students, please
complete the Student Request Form on Procurement Services’ website.
7. Verify employee ID to avoid reimbursing the wrong individual (For example Michael Smith)

to clear the screen and add another user
If a user is already on the drop down list, the following message will appear and the record cannot
be saved.
Accounts Payable will approve the request for the employee to be added to the drop down list by the
next business day.
