User Functions of Employee Earnings History
Overview
The Employee Earnings History application allows an employee to view
information about his or her payroll earnings history using the World
Wide Web. After entering a valid employee ID and PIN number, an
employee may view the following information:
•
Earnings, deductions, and contributions associated with a given
check
•
Current year-to-date grosses and deduction balances
•
Previous year-to-date grosses and deduction balances
•
Leave balances for vacation, compensable sick leave, noncompensable sick leave, personal holiday, and compensatory time.
The information in this document describes how employees access and use
the Employee Earnings History.

Logging in to Employee Earnings History
Before employees can access the Employee Earnings History, they must
know their Employee IDs and Employee PINs (Personal Identification
Numbers).
To access the application, using an Internet browser, an employee can
either type the URL address for the Employee Earnings History or select a
link to the Employee Earnings History from another web page. The
Welcome page is displayed:
When the Proceed to Login link is selected, the login form is displayed.
To log in, an employee must complete the following fields and then click
the View My Earnings History button:
•
Employee ID
•
Employee PIN

Once the Employee ID and Employee PIN have been validated, the
Employee Earnings History web page is displayed.
If an error was made in typing the Employee ID or Employee PIN, an
error message is displayed. The employee can return to the login form by
clicking the Try Again link.

Employee Earnings History Page
The Employee Earnings History page provides earnings information for
the logged in employee only.
The earnings page is displayed in two frames.
The right frame
contains details
about earnings,
deductions, and
contributions for
the selected
check date.
The left frame
contains links
to other
functions and a
list of check
dates.
Earnings,
deductions and
contributions for
the most recent
check are
displayed.
The left frame contains:
•
a list of links to various earnings history functions, such as Current
Year-to-Date Balances and Leave Balances
•
a list of transactions having a check date within the last 24 months,
displayed in descending order by check date

In the left frame, the Check Type column indicates whether a transaction
is for a:
•
Check
•
Advice
•
Cancellation
•
Handdrawn check
•
Overpayment
Transactions that are negative, such as cancellations and overpayments,
are displayed in red.
The following types of transactions are not displayed:
•
those in which net pay is zero
•
expense transfers
•
COH transactions that have been reversed
The right frame displays the earnings, deductions, and contributions for
the check date selected in the left frame. Information for the most recent
check date is displayed initially. Whenever a different check date is
selected in the left frame, the corresponding earnings and deductions for
that check date are displayed in the right frame.
Earnings, deductions, and contributions that are negative are displayed in
red. Contributions that are refunds are not displayed.
If the employee has no check activity within the last 24 months, the
message "No check data available" is displayed. This message is also
displayed if the employee is not allowed access to Employee Earnings
History based on employee type.

Current Year-to-Date Balances Page
When the Current Year-to-Date link is selected, the Current Year-to-Date
Balances web page is displayed. The following year-to-date balances are
displayed:
•
Total Gross
•
Tax Deferred
•
Taxable Gross
•
OASI Gross
•
Medicare Gross
In addition, year-to-date balances for any deductions taken are displayed.

Previous Year-to-Date Balances Page
When the Previous Year-to-Date link is selected, the Previous
Year-to-Date Balances web page is displayed. The following
previous year-to-date balances are displayed:
•
Previous Total Gross
•
Previous Tax Deferred
•
Previous Taxable Gross
•
Previous OASI Gross
•
Previous Medicare Gross
In addition, previous year-to-date balances for any deductions
taken are displayed.

Leave Balances Page
When the Leave Balances link is selected, the Leave Balances web
page is displayed. Balances for the following standard leave types
are displayed:
•
Vacation
•
Sick - Compensable
•
Sick - Non-Compensable
•
Comp Time
•
Personal Holiday
The leave balances reflect leave activity posted through the current
date.
If the employee has no leave balances and no leave transactions,
the message "No leave activity to report" is displayed.

Employee PIN Change
When the PIN Change link is selected, the Employee PIN Change
form is displayed. Employees can use this form to change their
personal identification numbers. To change a PIN, an employee
must complete the following fields and then click the Change
button:
•
Employee ID
•
Old PIN
•
New PIN
•
Confirm new PIN (that is, type the new PIN again)
To confirm that the PIN has been changed, the message "Your PIN
has been successfully changed" is displayed.

Logging Out
When the Log Out link is selected, a logout message is displayed.
The browser window is closed; therefore, the information that the
employee has viewed can no longer be displayed using the Back,
Forward, or Reload/Refresh buttons. An employee may want to log
out if other users share or have access to the same personal
computer.
The employee is returned to the last active application or browser
window.
