Dear Educator,
In a continued effort to support all West Virginia educators on the Educator Evaluation System, the Department of
Education would like to offer the following information:
Online Professional Learning Opportunities
The West Virginia Department of Education (WVDE) has partnered with Educational Impact to provide educators
with valuable, pertinent, and convenient online professional learning opportunities. Currently, approximately one
third of state public schools have access to this wonderful tool for professional improvement. All West Virginia
Priority Schools currently have access to the Educational Impact system. Priority Schools who have questions about
using the system should contact their district’s WVDE School Improvement coordinator. Additionally, any school
who participated in the Online Educator Evaluation System during the 2012 and/or 2013 school years have access to
the online Educational Impact system. If you are unsure of your school’s access, please contact your district to
inquire about utilizing this online professional learning system.
West Virginia Roster Verification
Beginning with the 2014-2015 school year, certain West Virginia educators will complete a new classroom roster
verification process. As more emphasis is placed upon student growth within the educator evaluation system, roster
verification becomes necessary to provide educators a voice in determining for which student’s growth an individual
educator should be responsible. Without this roster verification process, educators may be incorrectly held
accountable for the growth of students they never instructed.
The following educators will complete the Roster Verification process:
 PreK-3rd grade educators
 Mathematics educators (Grades 4-11)
 Reading / English Language Arts educators (Grades 4-11)
 CTE educators
 Institutional Education educators
Educators will be asked to begin this simple process in March of 2015. During September and October, the
Department of Education conducted several regional Roster Verification trainings. All eight (8) RESAs and nearly
ninety (90) percent of all state school districts sent representatives to be trained on Roster Verification. Those
trained educators have now been tasked with sharing the training with the remainder of educators in their RESA or
district. You may visit the Trainings webpage of the WV Educator Evaluation website to access materials regarding
the Roster Verification process.
Roster Verification Preparations Begin Now
Preparations for a successful Roster Verification process can begin now. School and district administrators should
begin to clean up their schools’ Master Schedules by working to ensure it is an accurate representation of the school
environment. The Department of Education (WVDE) will pull educator and student roster data from schools’ Master
Schedules in mid-January (2015) in order to populate the BFK Roster Verification System to be used in March.
Accurate Master Schedules will help reduce the amount of time it takes for school administrators and teachers to
complete the Roster Verification process successfully.

Here are some helpful hints to guide you in your Roster Verification preparations:
1) All school administrators (principals & assistant principals) must appear on the school’s Master Schedule.
2) Any educator who provides instruction to students within a school must appear on the Master Schedule. This
includes:
- Co-Teachers (multiple teachers sharing instructional responsibility for a class or students)
- Special Education Teachers
- Title 1 Teachers
- Interventionists
- Remedial Specialists
3) When reviewing a Master Schedule for Roster Verification preparations, focus your efforts on the courses and
educators who will take part in the Roster Verification process this school year.
In order to be of benefit to educators during Roster Verification, revisions to all Master Schedules must be
completed prior to January 12, 2015.
West Virginia Educator Evaluation System
A cursory review of district completion data shows that the vast majority of educators around the state are on
schedule to complete all required components of the online Educator Evaluation System for the current school year.
As always, your professionalism and diligence in the completion of the evaluation components are greatly
appreciated. If you have not completed a Self-reflection, or do not have two (2) Professional Goals recorded in the
online system, please complete these components as soon as possible.

Upcoming Educator Evaluation System Dates:


By January 1, 2015 – Evaluators complete a 2nd Observation for classroom teachers within the Initial
Progression level.
By March 1, 2015 – Evaluators complete a 3rd Observation for classroom teachers within the Initial
Progression level.
