ALL YOU NEED TO KNOW ABOUT HOSTING A TITLE I ANNUAL MEETING
Administrators and Title I funded positions such as: Title I Facilitators, Parental
Engagement Liaisons, Lab Managers, Resource Teachers and Instructional Practice Coaches
are encouraged to present the following information.
 Provide a presentation to parents about the Title I program and how parents can become
involved in an organized, ongoing and timely way, in the planning, review and improvement
of programs in Title I schools, including the district and the school’s Parental Involvement
Policy/Plan.
 Inform Parent’s of Their Rights to Know – Parents may request, and the school district will
provide certain information on the professional qualifications of the student’s classroom
teachers and paraprofessionals providing services to the child. This information can be
maintained in a binder at the front desk or in the Family Resource Center and would be
available to parents upon request. It is not enough to simply inform parents of the right to
request information; you must also tell parents how to request this information and where
to find it. Parents should also be notified if their child is taught for four or more weeks by a
teacher who is not highly qualified.
 Communicate in a language parents comprehend (avoid educational lingo)
 Conference with parents about the Shared School-Parent Compact for Student
Achievement. Address the importance of communication between teachers and parents on
an ongoing basis. Explain how the school will meet the requirement. (Jointly develop with
parents for all students in the school a Shared School-Parent Compact for Student
Achievement that outlines how parents, the entire school staff and students will share the
responsibility for improving student achievement). Review, discuss and sign the Shared
School-Parent Compact for Student Achievement at a parent conference.

Provide assistance to parents as appropriate in understanding such topics as the State’s
academic content standards, and local academic assessments.
 Share with parents where they can find a complete report of the School Accountability
Information Report- (SPAR).
 Describe the school’s responsibility to provide high-quality curriculum and instruction in a
supportive and effective learning environment that enables the students to meet the
State’s student performance standards and the ways in which each parent will be
responsible for supporting their children’s learning.
 Provide information about materials and training available to help parents work with their
children to improve their children’s achievement and the use of the Title I Family Resource
Center
The Process



Select a date, time and location.
Select a format
Publish notice to parent through as many of the following methods as possible:
1. backpack notice;
2. automated telephone call;
3. teacher calls class to invite parents;
4. newspaper notice;
5. marquee notice’
6. website; and
7. print notices posted in community locations

Make copies of materials to be distributed to parents. (In addition to the materials that are
distributed to parents. If parents are absent, the “Sorry we missed you” packet contains a receipt
that would be signed and returned to the school.)
Make copies of parent receipts to be included in materials for parents.
Meet with faculty to discuss format, procedures and expected outcomes for Annual Meeting.
Prepare and distribute parent sign-in sheets to staff.
Prepare a “Sorry we missed you” packet for each family unable to attend.
Distribute “Sorry we missed you” packets to teachers to be sent home in backpacks.
Collect sign-in sheets after the Annual Meeting.
Follow up on parent requests.
File documentation of evening for program monitoring.









Child Left Behind) supports your child in our school and how you should go about
scheduling a Parent/Teacher Conference to learn more about your child’s academic
progress and achievement.

Back to School Night/Title I Annual Meeting
Before the Meeting
Set up your room for the Title I Annual meeting. You may want to have a few pencils or
pens available for parents to sign forms.
During the Meeting
 Welcome parents as they arrive and make sure they sign the sign-in sheet.
 Invite parents to take a seat in your classroom for the Title I presentation.
 Invite parents who would like more information about Title I to stop by to see the
Title I Facilitator or Parental Engagement Liaison in the Media Center or Family
Resource Center any time during the evening.
Suggested topics you may wish share with parents:
 Explain your daily routine, academic program and assessments.
 Explain when and how you will communicate with parents.
 Describe your Classroom Discipline Plan.
 Describe your Homework Policy and Grading.
 Invite parents to sign up for a parent/teacher conference. (Sheet is in packet
distributed in homeroom.) More than one teacher can be listed on the
conference request form.
 Ask parents to complete the Survey and Event Response form if this is their last
classroom stop for the evening. Parental Engagement Liaison will collect complete
forms.
Have students whose parents did not attend sign for a Sorry We Missed You packet. Turn in
this signed sheet when all packets have been distributed to students and signed for.

7:10-7:30 p.m. SESSION 2 Parents can visit other children’s teachers to sign up for Spaghetti Night
Conference and/or visit the labs, special teachers, or the Title I table.

Right to Request Information
Each parent of a student in a Title I school has the right to request information about the professional
qualifications of the student’s teacher(s) and any teacher assistants who serve the student. This information will
be provided by the administrative office at the child’s school upon request. This notice will also be provided by the
school to all parents.
Parent Notification Regarding Non-Highly Qualified Teachers
No Child Left Behind (federal education law) requires the district to notify the parent when a teacher, who is not
highly qualified, teaches your child for four consecutive weeks. If this occurs, your child’s school will send home a
letter giving you information regarding your child’s teacher.
Parent Notification Regarding Individual Student Achievement on State Assessments
Each year a school that receives Title I, Part A funds must provide parents with an individual student report
informing them of their child’s level of achievement on the State’s assessments in at least reading/language arts,
and math. This requirement is covered by the state’s individual student academic assessment report.
Parent’s Right to Know
The Federal No Child Left Behind Act of 2001 requires school districts that receive federal Title I funding to
notify parents of their right to know the professional qualifications of the classroom teachers who instruct
their child. Parents have the right to know if their child has been assigned or has been taught for four or
more consecutive weeks by a teacher who does not meet the Federal requirements of “highly qualified.”
According to the No Child Left Behind Act of 2001 [P.L. 107-110, Section 9505(23)], a highly qualified teacher
is one who:




Has obtained a Bachelor’s degree;
Has demonstrated competency in the subject area assigned to teach;
Has obtained full State certification as a teacher or has passed the State teacher licensing
examination; and
Has not had certification or licensure requirements waived on an emergency, temporary, or
provisional basis.
Parents may also obtain information about the qualifications and certification of their child’s teachers by
stopping by the front desk where information is available for their review. School staff is available to meet
with parents to review this information.
