HR & Admin Executive
Broad Function:
The HR & Admin Executive’s main duty is to provide general assistance to the VP- HR & Administration in both the
human resources and the administration departments.
Detailed Duties:1. Recruitment & Placement; Assist in advertising for vacancies, screening, interviewing, hiring, induction &
orientation. Recruitment of Academic and Operational Staff (including international, regional and UAE
hires).
2. Compensation & Benefits: Assist in payroll administration (both full time and part time).
3. Manpower Planning: Assist VP in implementing manpower plans, annual and semester academic staffing.
Optimization of workloads, reviewing and monitoring job descriptions, performing job analysis periodically.
4. Policies & procedures: review and update management policies, company’s code of conducts and various
departmental SOPs under the supervision of VP-HRA.
5. Training & development: Assist in training needs assessment and organizing training sessions.
6. Statistics & Reports: provide weekly management reports, weekly visa reports, monthly statistics and
generate payslips for all staff
7. Legal & Compliance: Ensure compliance with relevant legislation for all employment related matters and
effectively interfaces with Knowledge Village/Dubai International Academic City for guidelines and their
implementation. Act as a point of contact with the government authorities, Dubai TECOM free zone
authority, Ministry of Labor, and all other relevant government bodies.
8. Administrational duties: Assist in issuing staff and student visas, issue salary certificates & employment
letters, etc.
9. Separation and end of service: assist in the exit process, ensuring clearance, visa cancellation, and other
related logistics.
10. Internal Events: Assist in organizing corporate teambuilding events, staff workshops and annual ceremonies.
11. Logistics & Transportation: Supervise the University’s fleet, route scheduling, transportation arrangements,
various logistics plans, maintenance of vehicles and monitor relevant expenditure and revenue.
12. Career Counseling and Placement: Preparing graduates and alumni for interviews, CV writing, occupational
interest assessment, assist in job placement, etc.
13. Conduct market research and market trends updates as and when needed.
14. Perform duties on special projects as and when needed.
15. Assist in the university’s activities, events, activities as and when needed.
16. Relief other HR and Admin staff as and when needed.

A bachelor’s degree in Business Administration or HR, an MBA/MHRM/ CIPD is a plus.
At least 4 years working experience in the HR field, 2 years of which should be in Dubai.
Knowledge of the UAE Labour law, Immigration laws and procedures is a must. Knowledge of free zone visa
process is a plus.
Excellent oral and written communication in English (this includes but not limited to, business
correspondence, letter writing, report writing and proposal writing). Arabic is highly preferred.
Excellent knowledge of Microsoft Excel, ability to use advanced functions and formatting options. Good
Knowledge of Ms Word, PowerPoint, Access and Visio.
Excellent presentation and oral communication skills.
Important traits: Organized, efficient, high EQ, high business acumen, intelligent, confidential and
approachable.
Demonstrated ability to motivate staff, good leadership and interpersonal skills.
Position details:



Full time contract
Timings: 9:00am – 6:00pm (Sundays to Thursdays, Saturdays maybe working days as and when needed)
Closing date: October 10, 2011
